Veritas Meeting Solutions, a fast-growing Association Management and Meeting Planning company specializing in medical sub-specialty associations, is seeking a Full-Time experienced Administrative Assistant with project management experience to support our Association clients. This is a remote position. The success of our clients is paramount in Veritas’ culture. Our unique, hands-on management approach is nimble, empowering each manager and administrative team to make decisions and implement change efficiently and effectively.

Position Summary

The role of Association Administrative Assistant serves to meet the administrative support needs of each society executive director leadership and/or executive team members while exercising the highest levels of discretion and judgment in doing so. The Administrative Assistant primarily delivers on organizational support, planning and execution to ensure the leadership team can effectively drive business strategy, client services, client events and society management. They also serve as a liaison to the other departments in Veritas; organize and coordinate executive outreach and external relations efforts; and oversee special projects.

Position Responsibilities

Work closely with the Executive Director (ED), Associate Executive Director (AED), and Administrative Director (AD) in a supportive role.
Utilize professional, strong written and verbal communication.
Demonstrate organizational skills, ability to manage multiple projects and move quickly from one project to another while maintaining thorough records.
Requires the ability to be flexible and balance competing priorities.
Work independently on projects, from conception to completion, work under pressure at times, handling a wide variety of activities and confidential matters with discretion.
Compile documents for Client meetings
Coordinates schedules to manage client meetings and internal team discussions.
Researches, prioritizes, and follows up on issues and concerns as assigned by the ED, AED, AD or that may be requested by the Executive Board.
Support the client committees in striving toward their goals by scheduling meetings, taking minutes, responding to requests, and acting as a liaison with the Executive Team.
Complete special projects assigned by the Executive Team.

Qualifications

The ideal candidate will have the following experience and qualifications:
Bachelor’s degree or equivalent in experience that includes administrative support.
Strong interpersonal and excellent oral and written communication skills.
Resolve problems efficiently and quickly.
Ability to adjust messages to diverse audiences quickly establishing credibility, along with ability to maintain ongoing relationships.
Strong multi-tasking skills and ability to thrive in a dynamic, fast-paced environment.
Work independently to juggle projects by prioritizing projects and deadlines.
The ability to travel to client meetings.
