Job Description: The Executive Administrative Analyst plays a crucial role in ensuring smooth operations and efficient management of scheduling, administrative tasks, report analytics, and customer service. This position requires excellent organizational and analytical skills, as well as strong attention to detail. The Scheduling Administrative Analyst will be responsible for coordinating and managing schedules, generating reports, analyzing data, and providing exceptional customer service to internal and external stakeholders.

Responsibilities:

Manage and maintain schedules for various departments, teams, or individuals.

Coordinate appointments, meetings, and events, ensuring all parties are informed and prepared.

Generate reports and analyze data to provide insights and recommendations for process improvement.

Conduct research and gather information to support data analysis and reporting.

Develop and maintain databases and systems to track and organize scheduling and administrative tasks.

Provide exceptional customer service by responding to inquiries, resolving issues, and addressing concerns promptly and professionally.

Collaborate with cross-functional teams to ensure effective communication and coordination of schedules and tasks.

Assist in the development and implementation of administrative policies, procedures, and guidelines.

Maintain confidentiality of sensitive information and adhere to data protection regulations.

Requirements:

Proven experience in scheduling administrative work, report analytics, and customer service.

Strong analytical and problem-solving skills with the ability to interpret data and generate insights.

Proficiency in using scheduling software, database management systems, and office productivity tools.

Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.

Effective communication skills, both verbal and written, with the ability to interact with individuals at all levels.

Attention to detail and high level of accuracy in data analysis and reporting.

Ability to work independently and collaboratively in a fast-paced and dynamic environment.

Flexibility and adaptability to changing priorities and evolving business needs.

Qualifications:

High school diploma/GED required, Associate’s degree or administrative training is preferred.

Previous experience as an Administrative Assistant or in a similar position.

Familiarity with standard office equipment such as printers and fax machines.

Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint.

Highly organized with excellent time management skills and the ability to prioritize projects.

Availability to travel (if necessary).

Prolonged periods sitting at a desk and working on a computer.

Availability to conduct field site visits.

Ability to learn quickly and maintain knowledge on programs.
