Role Title: Administrative Assistant

ABOUT THE PROGRAM

THE SUMMER PROGRAM is Fresh Supply’s six-week immersive employment program for Chicago youth, empowering them to explore digital technology through hands-on projects and meaningful community engagement.

WHAT YOU WILL DO

Fresh Supply is seeking an Administrative Assistant to support the execution of THE SUMMER PROGRAM. The Administrative Assistant will play a vital role in ensuring smooth program administration, assisting with participant coordination, record-keeping, and financial reporting while serving as a key point of contact between program staff, youth participants, and the fiscal agent. The position requires a hybrid work model, with some in-person responsibilities such as handling paperwork, assisting at orientation sessions, and supporting program events, while other tasks can be completed remotely.

Candidates must successfully pass a background check before employment.

WHAT YOU WILL BE RESPONSIBLE FOR

Administrative & Financial Support (25%)

Maintain accurate records of participant enrollment, attendance, and required documentation
Assist in processing applications, verifying eligibility, and organizing program files
Prepare and distribute program materials, reports, and schedules
Regularly collect, organize, and submit itemized receipts, vendor quotes, and budget reports to the fiscal agent
Ensure timely submission of timesheets and payroll documentation for youth participants and staff
Track budget expenditures and communicate financial updates with program leadership and the fiscal agent

Communication & Office Management (30%)

Manage various communication channels, including phone calls, emails, messages, ensuring timely and professional responses.
Serve as the primary point of contact for intercommunications between the program team, students, parents, volunteers and external partners.
Oversee office management tasks, including preparing and distributing documents, filing and retrieving paperwork, and maintaining electronic filing systems.

Scheduling & Logistics Coordination (15%)

Manage calendars for program directors and staff, scheduling meetings, appointments, and field trips.
Book travel arrangements for program site visits, field trips, and relevant staff travel.

Program Operations & Event Management (20%)

Assist in coordinating and maintaining program schedules, ensuring all logistics align with key program milestones.
Oversee the procurement of necessary program supplies while maintaining budget alignment.
Support program-related meetings by preparing agendas, staff training materials, and documentation.
Assist with summer program event planning, including task delegation, coordination, and promotional efforts.

Social Media (10%)

Manage social media, creating and posting updates about the summer program.

YOUR EXPERIENCE

Your areas of knowledge and expertise that matter most for this role (minimum qualifications):

1-2+ years of experience in administrative support, office management, or program coordination, preferably in a youth development, education, or non-profit setting.
Strong background in communication management, including phone, email, and social media interactions, with a focus on timely and professional responses.
Proven experience with scheduling and logistics coordination, including calendar management, meeting scheduling, and booking travel arrangements.
Experience with data entry and record keeping, ensuring accuracy in tracking student and program staff timesheets, budgets, and consent forms.
Familiarity with social media platforms (LinkedIn) and managing social media campaigns for organizations or events.
Experience in coordinating events, including task delegation, promotional efforts, and supporting meeting logistics.
Proficiency in Canva, and Microsoft Office or Google Workspaces.
High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration, Education, Communications, or related field preferred.

EXPECTATIONS

Seasonal position lasting approximately 12 weeks, from mid-May to mid-August, 2025.
Hybrid work model: Some days require in-person attendance, while others allow for remote work.
Flexibility to work occasional evenings or weekends for program-related events.

Pay: $22.50 per hour
