About The Role

We are seeking a highly organized, proactive, and dedicated Executive Assistant (EA) to support two Vice Presidents within the Human Resources department—specifically, the VP of Talent Acquisition and the VP of Talent Development & Inclusion. In this pivotal role, you will serve as a trusted partner to these senior leaders, managing their schedules, communications, and priorities with utmost confidentiality and professionalism. The ideal candidate will possess excellent organizational skills, a keen eye for detail, and the ability to thrive in a fast-paced, globally distributed environment. Your responsibilities will include managing complex calendars, coordinating meetings and logistics, preparing briefing materials, handling travel arrangements, and supporting special projects aligned with HR initiatives. The role requires a proactive mindset, strong communication skills, and the ability to work independently while collaborating effectively across departments. Flexibility with working hours and exceptional self-management are essential to succeed in this dynamic environment.

Qualifications

  • Demonstrated experience supporting one or more Vice Presidents or equivalent senior executives at a large, publicly traded company
  • Proficiency in Microsoft 365 applications including Outlook, Word, Excel, PowerPoint, OneDrive, and SharePoint
  • Highly organized, resourceful, and detail-oriented with the ability to manage multiple priorities simultaneously
  • Ability to work independently with minimal supervision
  • Strong integrity, discretion, and professionalism when handling sensitive information
  • Excellent written and verbal communication skills across all organizational levels
  • Exceptional time management skills with the ability to prioritize effectively under pressure
  • Collaborative team player capable of working across multiple departments and geographies

Preferred qualifications include experience supporting HR or People functions at a global technology company, familiarity with AI productivity tools such as Microsoft Copilot, and experience mentoring or guiding other administrative professionals.

Responsibilities

  • Manage and optimize the calendars of the VPs, proactively resolving scheduling conflicts and prioritizing commitments to align with organizational goals
  • Support the planning and coordination of internal and external meetings, including logistics for team offsites, leadership forums, country visits, and key corporate events
  • Serve as the first point of contact for inquiries directed to the VPs, triaging and routing routine matters to appropriate teams or individuals
  • Handle correspondence and approvals, acting as a proxy to ensure effective communication while maintaining the executives' voice and intent
  • Manage expense reports, Statements of Work (SOWs), Purchase Orders (POs), and develop proficiency with WD’s internal tools such as Microsoft 365, SharePoint, and other enterprise platforms
  • Prepare and organize briefing documents for meetings, business trips, and strategic initiatives, including agendas, background materials, and logistical details
  • Coordinate all aspects of travel arrangements, including booking flights, accommodations, itineraries, and managing travel disruptions
  • Partner with the HR team and executives on special projects and strategic initiatives to support organizational goals
  • Build and maintain professional networks to support personal development and assist in community building within the organization
