We are seeking a highly organized and experienced Executive Administrative Assistant to support the Founder and C-suite. This ideal candidate thrives in a fast-paced environment and must demonstrate impeccable judgment and a high level of discretion, as they will regularly handle sensitive, privileged information that is vital to the organization’s strategic operations.

Position Overview

The Executive Administrative Assistant will play a key role in enabling business growth. This is not your typical administrative job. In this role, you will be the right hand to the Founder & Leadership Team — anticipating needs, connecting dots across projects, and managing enterprise operational activities.

Key Responsibilities

Leadership Support & Prioritization

  • Act as a strategic gatekeeper and facilitator for the leadership team’s time, calendar, and priorities.
  • Prepare agendas, briefing documents, and follow-up actions for internal and external meetings, including planning and coordinating on-site meetings.
  • Anticipate needs, gather relevant information, and proactively resolve scheduling conflicts.

Operational & Administrative Management

  • Manage complex scheduling, domestic and international travel arrangements, and expense reporting.
  • Oversee the end-to-end travel process for executives, including itineraries, bookings, and changes.
  • Process and reconcile travel and expense reports in alignment with company policy.
  • Maintain enterprise-wide documents, creating centralized repositories for team access.
  • Coordinate technology purchases and subscriptions; manage the tech tools budget and renewal calendar.
  • Monitor vendor invoices, budget variances, and recommend cost-optimization opportunities.
  • Support recruitment coordination, onboarding, and HR processes as needed.
  • Serve as system administrator for technology to ensure appropriate team member access, permissions, and notifications.

Project & Communication Coordination

  • Assist with special projects, research, and preparation of presentations or reports.
  • Track progress on action items and ensure timely follow-up across the leadership team.
  • Draft, edit, and distribute internal communications on behalf of the leadership team.

Culture & Team Enablement

  • Help coordinate team events, all-hands meetings, and leadership offsites.
  • Maintain a positive, solutions-focused presence that reinforces company values.
  • Serve as a trusted partner and liaison between the leadership team and staff.

  • The Founder and C-Suite’s time is spent almost entirely on high-value, strategic activities.
  • Meetings, decisions, follow-ups, and budget management flow seamlessly without bottlenecks.
  • Technology spending is optimized and tracked against budget.
  • You’ve become an indispensable, trusted partner in running the business.

Qualifications

  • 5+ years supporting senior executives, ideally in a startup or high-growth environment.
  • Exceptional organizational and time management skills — thrives under pressure with shifting priorities.
  • Strong written and verbal communication skills; able to communicate on behalf of executives.
  • High emotional intelligence, discretion, and trustworthiness with confidential information.
  • Highly self-motivated with the ability to work productively in a remote environment
  • Tech-savvy: adept with Google Workspace, Slack, and project management tools (e.g., Asana, Notion, Monday).
  • Experience managing budgets, vendor relationships, and cost tracking.
  • A proactive mindset — sees what needs to be done before being asked.
