Discovering Broadway Inc., an arts organization based in Indianapolis, is seeking a reliable, trustworthy, collaborative, self-motivated individual to join the organization as the Executive Assistant. The ideal candidate is organized, efficient, thorough, and, above all, a problem solver. Candidates should be teachable, eager to learn, and flexible as Discovering Broadway Inc. is a startup non-profit that serves ever-changing needs of artists and Central Indiana. Candidates must be trustworthy of information regarding high-profile new musicals and intellectual property.

RESPONSIBILITIES

Grant Management

– Identify grant opportunities in Central Indiana for classes, concerts, and writers retreats.

– Explore grants in New York City for the New York Bridge Program.

– Develop and maintain a comprehensive grant calendar to track application deadlines annually.

– Include due dates, focus areas, past donation requests, contacts, etc.

– Prepare and submit grant proposals, both narrative and financial.

– Coordinate with relevant teams to gather necessary information for grant applications.

– Ensure compliance with grant guidelines and deadlines.

– Ensure timely tracking and filing of follow-up reports.

– Verify recognition in DB marketing/communication materials is correct per the agreement.

– Update and monitor all program participant information and budgets relating to grants.

Individual Donors / Stewardship

– Contribute to the development and supervision of an impactful donor stewardship program.

– Facilitate timely communication with donors.

– Visit the mailbox each week to collect all mail received.

– Deposit all donations made via check at National Bank of Indianapolis.

– Update and maintain the donor database tracking each individuals’ financial contributions.

– Confirm contribution details through personalized letters.

– Track and ensure progress on the annual development plan.

– Maintain a donor spreadsheet listing all current information.

– Research and identify potential donor prospects.

Communications

– Assist in developing and maintaining good vendor relations with various service providers.

– Collect and manage all W-9 forms from each new vendor or service provider.

– Create and distribute monthly e-newsletters as well as direct mailings, donation receipt letters, end-of-year letters, and holiday letters.

– Track and update alumni projects.

– Manage, post, and generate content including graphics and event summary videos for social media accounts (Facebook, LinkedIn, Instagram, TikTok).

– Assist with media relations efforts, including writing press releases, maintaining media lists, pitching stories, responding to inquiries, and coordinating interviews.
