Executive Administrative Assistant
We are seeking a highly organized, professional, and experienced Executive Administrative Assistant to support our CEO, CFO, VP of Operations, and VP of Marketing. This role will have responsibility managing high-level executive demands, while also overseeing general office operations, provide product/services information to customers and resolve any emerging problems that our customer accounts might face.
They will undertake administrative tasks and keep up to date, detailed MS Office documents of existing business between all departments, ensuring the rest of the staff has adequate support to work efficiently. The ideal candidate will be very organized, competent in prioritizing and working with little supervision. Computer and MS Office proficiency is imperative.
The Executive Administrative Assistant ensures smooth running between the different departments within the company and contributes in driving sustainable growth.
Key Responsibilities:
Provide high-level administrative support to the CEO, CFO, VP of Ops, and VP of Marketing
Handle phone calls and correspondence (e-mail, letters, packages etc.)
Manage complex calendars, coordinate meetings, prepare agendas, and take meeting notes
Arrange domestic and international travel, accommodations, and itineraries
Oversee day-to-day office operations to ensure a clean, professional, and efficient work environment
Serve as the point of contact for facility-related vendors and services
Manage office supplies, equipment, and inventory
Coordinate company-wide communications and internal events
Proactively identify opportunities to improve workflows and solve logistical issues before they arise
Support project coordination and cross-functional communication
Maintain professionalism and a service-oriented mindset in all interactions
Qualifications:
Excellent written and verbal communication skills
Strong proficiency in Microsoft Office Suite and calendar management tools
Familiarity with CRM systems and practices
Familiarity with office management procedures and customer service principles
