Position Title: Executive Admin Assistant

Location: Rapid City, SD USA

Reports To: Executive Director; Integrator/Chief of Staff

Cooperates closely with: ReStore Manager, Homeowner Services Manager, Finance/HR

Manager, and Resource Development Manager

Job Type: Full-time/Non-exempt

Position Summary:

Reporting to the Integrator/Chief of Staff, provides executive level administrative support to Executive director, Integrator/Chief of Staff, and department managers as required. This position is responsible for overseeing the administrative and compliance functions of Black Hills Area Habitat for Humanity with adherence to local, state, and federal guidelines.

ESSENTIAL DUTIES & RESPONSIBILITIES

Administration, office management:

Implement procedural or policy changes approved by Chief of Staff or Board of

Directors, including filing and maintenance of procedures and policies

o Ensure proper completion of Quality Assurance paperwork each year

Supervises volunteer and office staff and overall volunteer coordination

o Directly oversee office volunteers, ensuring each volunteer is engaged in a

meaningful and fulfilling position

Effectively and efficiently process incoming and outgoing correspondence (mail, e-mails)

Makes travel arrangements and bookings, prepares expense reports as needed

Courteously manages phone calls, walk-ins, and ensures office coverage

Keeps the office calendar updated

Proactively ensures logistics and refreshments are in place for management meetings

and other meetings as needed

Assists in events and meetings execution as needed. Duties might include drafting

meeting agendas and tracking KPIs

Manages cleaning crew and operational issues ensuring a safe, clean working

environment for staff and volunteers

Supports Board of Director meetings

Support to office and department management:

Resource Development

o Working with others, ensures consistent social media interaction

o Produces monthly email blasts

o Designing signs, posters, marketing material, enlisting support from other staff

o Experienced with professional design software such as Adobe InDesign,

PhotoShop, Canva, and others

o Helps with videography/photography when needed

o Manages activities surrounding World Habitat Day

o Manages small grant portfolio and ensures accurate and timely execution and

reporting

Finance/HR

o Assists with HR recruitment and onboarding

o Procurement – ensures the office runs smoothly and has what it needs for

success

o Provides support for all OSHA and safety compliance requirements

Homeowner Services

o Assists with application packets and occasional attendance at informational

meetings and posting appropriate information online

ReStores

o Assist ReStores with monthly promotions
