We are seeking a highly organized, proactive, and adaptable Executive & Administrative Assistant to serve as a key operational partner across executive leadership, business development, marketing, and property management functions.
Key Responsibilities:
- Manage executive email inboxes, correspondence, and follow-ups
- Coordinate and maintain calendars, appointments, meetings, and reminders
- Schedule internal and external meetings across multiple businesses
- Prepare reports, documents, presentations, and meeting notes
- Handle confidential information with professionalism and discretion
- Assist in organizing projects, priorities, and daily operations
- Provide general executive assistant and administrative support as needed
- Assist in overseeing personal residential properties and coordinating maintenance requests
- Communicate with vendors, contractors, tenants, and service providers
- Track property schedules, invoices, renewals, and appointments
- Maintain organized records, payments, and property documentation
- Coordinate business and personal travel arrangements, including flights, hotels, transportation, and itineraries
- Assist with reservations, scheduling, and personal appointments
- Support day-to-day lifestyle management tasks and special projects
- Manage errands, reminders, and other time-sensitive requests
Qualifications:
- 3 years supporting US based client
- Proven experience as an Executive Assistant, Administrative Assistant, or similar support role
- Experience in professional services, accounting, construction, real estate, or property management
- Strong written and verbal English communication skills
- High proficiency in Microsoft 365 (Outlook, Excel, PowerPoint) and Google Workspace
- Experience with CRM systems and administrative tools
- Strong organizational and multitasking abilities
- Ability to manage shifting priorities in a fast-paced environment
- High attention to detail and accuracy in all deliverables
- Ability to handle confidential and sensitive information professionally
