Rackson Restaurants is seeking a highly organized and detail-oriented Executive Administrator to join our team. The Executive Administrator will be responsible for providing crucial administrative support to the CEO and for collaborating with other executive team members, ensuring seamless communication and efficient operations. The ideal candidate will possess exceptional organizational skills, proficiency in Microsoft Excel, Word, and PowerPoint, strong writing capabilities, and the ability to interact professionally with internal and external stakeholders. This is an on-site position based in Bridgewater, NJ.

What You’ll Do: Support the CEO and executive team with administration, coordination, communication, meeting management, and other tasks to help the organization reach our goals. Essential functions include:

Assist with daily operations and administrative tasks.

Attend executive meetings, take comprehensive meeting minutes, and distribute them to stakeholders promptly.

Organize and coordinate executive-level meetings, including scheduling, agenda preparation, and post-meeting follow-up.

Prepare regular email updates on key organizational initiatives such as new store openings, remodels, and systems implementations.

Attend project meetings on behalf of the CEO, summarizing discussions and suggesting follow-up actions.

Provide administrative assistance for meeting preparations, travel arrangements, and other executive-level tasks.

Interface professionally with internal and external stakeholders, representing the CEO’s office effectively.

Pull and/or create reports and executive summaries from various company systems to aid decision-making.

Conduct basic research and compile relevant information for executive use.

Maintain organized records of important documents, ensuring easy accessibility for the executive team.

Assist in managing the CEO’s calendar, ensuring optimal scheduling and time utilization.

Collaborate with different departments to gather information and updates for executive reporting.

Assist in coordinating projects and initiatives, ensuring timely completion and reporting.

Create communication collateral, such as presentations, brochures, and newsletters.

Other projects and tasks as assigned.

What Will Make You Successful:

High school diploma or equivalent; associate or bachelor’s degree in Business Administration, Communications, or related field is a plus.

Proven experience as an executive administrator or similar role.

Proficiency in Microsoft Office Suite, especially Excel, Word, and PowerPoint.

Excellent organizational and multitasking abilities.

Strong written and verbal communication skills in English with the ability to communicate clearly and professionally.

Tech-savvy with the ability to adapt to new tools and systems.

Detail-oriented with a focus on accuracy and completeness.

Ability to maintain confidentiality and handle sensitive information.

Ability to prioritize tasks and manage time effectively in a fast-paced environment.

Strong interpersonal skills and ability to work collaboratively in a team environment.
