About the Opportunity
We are seeking a highly organized and professional Executive Administrative Assistant to support senior leadership within a large healthcare organization’s Strategic Service Lines division. This role provides executive-level administrative support across multiple departments and requires exceptional communication, organization, and multitasking skills.
This is an onsite position located in Nashville, TN and is an excellent opportunity for an experienced administrative professional who thrives in a fast-paced environment supporting executive leadership.
Candidates with prior HCA Healthcare experience are strongly encouraged to apply.
Key Responsibilities
- Provide executive-level administrative support to department leaders and senior management.
- Manage complex Outlook calendars, scheduling meetings, and coordinating executive appointments.
- Coordinate domestic travel arrangements and manage expense reporting through Concur.
- Prepare correspondence, reports, presentations, and other business documents.
- Answer and direct calls, inquiries, and visitors appropriately.
- Gather information and prepare summaries, reports, and meeting materials.
- Coordinate interoffice communications, records management, and office procedures.
- Plan and coordinate meetings, conferences, and off-site events.
- Research venues, negotiate vendor and hotel contracts, and manage event logistics.
- Oversee office supply inventories and coordinate equipment purchases and maintenance.
- Attend meetings and provide follow-up on action items.
- Maintain strict confidentiality while handling sensitive information.
- Support special projects and additional administrative duties as assigned.
Required Qualifications
- Experience using Concur for travel and expense management.
- Advanced proficiency with Microsoft Outlook, including calendar management and scheduling.
- Strong working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Excellent organizational, communication, and interpersonal skills.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Professional demeanor and ability to interact with executives and leadership teams.
- High attention to detail and strong problem-solving abilities.
Preferred Qualifications
- Associate Degree.
- 1–3 years of administrative support experience or equivalent combination of education and experience.
- Previous healthcare administrative experience.
- Prior HCA Healthcare experience preferred but not required.
- Experience supporting executive leadership teams.
