Join the TriMet team as an Executive Administrative Assistant! Our Office of the General Manager (GM) is seeking an administrative expert to support our GM and Executive team.

This department supports the General Manager and the TriMet Board of Directors. The GM is part of the executive team, which also includes the Chief Operating Officer and the executive directors of TriMet’s divisions. The Executive Administrative Assistant will work closely with the Senior Administrative Assistant, and will report to the General Manager.

We’re looking for candidates with strong administrative experience, who can maintain a high level of confidentiality, can take initiative, can work independently, and who are extremely organized.

The Executive Administrative Assistant provides a high level administrative support to the General Manager of a division under minimal supervision. This position will coordinate a broad variety of administrative processes and activities such as database, budget, and HR maintenance and reporting; communications and management of supervisor(s) and/or department’s multiple calendars and events. This involves reviewing administrative work procedures, policies and operational methods; and identifying and documenting the following as applicable: Standard Operating Procedures; best practices; appropriate filing and audit mechanisms; financial and performance metrics reporting; and regulatory and compliance systems. The Executive Administrative Assistant also works to train and coordinate the work of other administrative or temporary staff.

TriMet is seeking someone who uses initiative and an advanced knowledge of administrative skills, methods, innovation, analysis, and reasoning to choose appropriate alternatives from among pre-defined policies and procedures to complete work that includes successive steps and involves some non-routine problems and/or decisions but is generally not complex.

The Executive Administrative Assistant job is distinguished from the Senior Administrative Assistant in that it provides administrative support to a division Executive Director and performs work under minimal supervision. The supervisor provides objectives, deadlines and specific instructions only for new, difficult, and/or unusual work. This role will exercise independent judgment in a variety of complex administrative support functions. Majority of activities will be completed without direction and inform the supervisor of on-going progress and/or potentially controversial matters.

This position is performed five (5) days in-office per week.

Serve as a good steward of TriMet by regularly utilizing our transit system to maintain a strong and current understanding of customers’ experiences and of TriMet’s product and service offerings.
