POSITION SUMMARY:
Dedicated and dependable Executive Assistant with vast experience in serving senior and C-level executives managing complex scheduling, event planning, and ad hoc projects. Recognized as an organized professional who can effectively multi-task with high attention to detail and accuracy. Leverages strong communication skills and a proactive mindset to work autonomously in a fast-paced environment thriving under pressure. While also handling all office management responsibilities.
ESSENTIAL FUNCTIONS:
Essential duties and responsibilities may include, but are not limited to, the following:
Gatekeeper to the CEO. Serve as the primary point of contact for internal and external communications on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate courses of action, referral, or response, exercising judgement to reflect CEO’s style and organization policy.
Provide sophisticated calendar and time management for the CEO. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
Extensive travel management for the CEO and other executives traveling with the CEO. Always anticipating changes and/or updates to travel, events and the calendar.
Exceptional Communication skills. Manage interaction between upper management and employees.
Harmonize internal and external resources to expedite workflow. Coordinating with internal and external executives on various projects and tasks.
Office Management responsibilities. Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization. Manage all aspects of the organization’s office services. Evaluate and assist in developing office policies and procedures for improved workflow and anticipate future needs as organization grows. Assist in the selection of vendors and purchase equipment, services, and supplies necessary for operation of organization within the office.
Provide high-level administrative support to executives by meticulously managing their departmental budgets, tracking expenses, ensuring compliance with financial
policies, and preparing detailed financial reports, all while collaborating closely with the finance team to maintain accurate financial records and optimize spending.
Act as a liaison and provide support to the Board of Directors. Working closely with the General Council on all details. When needed, arrange and handle all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials. Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters.
Maintain and improve internal processes that support the CEO and the company overall.
Some travel throughout the year might be required for this position.
This position will support the travel manager as needed and assist employees with various travel arrangements.
QUALIFICATIONS:
Knowledge/Skills/Abilities:
Extensive experience providing high-level administrative support directly to C-suite leadership. Preferred two to three years’ experience.
Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials.
Strong verbal and written communication skills.
Exceptional organizational skills and impeccable attention to detail with all levels of the organization.
High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, employees in every department as well as working with other executives, their team, vendors and contractors.
Make appropriate, informed decisions regarding priorities and available time.
Ability to complete a high volume of tasks and projects with little or no guidance.
Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
Able to maintain a high level of integrity and discretion in handling confidential information.
Excellent judgment is essential.
Ability to switch gears at a moment’s notice.

Experience and Training:
Any combination of the following experience and training (designated as required and/or preferred) that would provide the required knowledge and abilities is qualifying.
Experience: Two to three years’ experience working with a senior executive of a public company and/or training; or equivalent combination of education and experience.
Education: High school diploma or general education degree (GED)

SALARY RANGE & BENEFIT OPTIONS FOR CALIFORNIA APPLICANTS:
Salary Range: Base Salary of approximately $90,000 – $120,000 annually plus bonus – compensation is commensurate with skills & experience.
