We are seeking a highly organized and proactive Executive Assistant & Office Coordinator to provide direct administrative support to a senior executive while ensuring the smooth day-to-day operations of the office. This role requires a professional who can anticipate needs, manage multiple priorities, and contribute to a positive and productive work environment.
Responsibilities:
Provide high-level administrative support to an executive-level employee, including complex calendar management, meeting coordination, travel arrangements, etc.
Greet guests/employees and provide them with superb customer service
Ensure the office is neat, presentable, and equipped with necessary supplies at all times
Track and order office equipment and supplies, and restock items regularly, including kitchen and communal areas
Assist with light housekeeping tasks such as loading/unloading the dishwasher and keeping shared spaces tidy
Answer all incoming calls
Coordinate meetings (setting up conference calls, scheduling meeting rooms, arranging reservations/catering, etc.)
Serve as the point of contact for office-related inquiries and ensure a professional, well-functioning workspace
Support company-wide administrative initiatives and cross-functional projects as needed
Accept all letters and packages and distribute them to their appropriate departments
Maintain confidentiality and discretion in handling sensitive information
Perform other administrative duties as assigned
Minimum Qualifications:

Experience supporting C-level or senior executives
Proficiency with Microsoft Word, Excel, PowerPoint, Outlook
Superb written and verbal communication skills
Strong knowledge of MS Office programs
Ability to prioritize and manage multiple tasks and projects
Professionalism, discretion, and a proactive, solutions-oriented mindset
Ability to maintain a high level of confidentiality while being professional and poised
