Position Summary:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the Vice President of Edge Retail Academy. The ideal candidate will possess exceptional organizational skills, sharp attention to detail, and the ability to manage multiple tasks and priorities in a fast-paced environment. Being detail-oriented, and able to work independently, while maintaining confidentiality, is essential.
Key Responsibilities:
1. Administrative Support:
Scheduling meetings and appointments for the Vice President.
Prepare and organize meeting materials, including agendas, presentations, and reports.
Perform various administrative tasks that correlate to billing, expenses, maintaining accurate client records, and team details.
Social Media postings and interactions throughout the year.
Proof-reading and editing.
2. Documentation and Reporting:
Assist in the preparation of, and updating of reports, presentations, and other documentation as required.
Maintain organized electronic filing systems for easy document organization and retrieval of information.
3. Project Coordination:
Assist in project management, tracking deadlines and ensuring timely completion of tasks.
Support special projects as assigned by the Vice President, ensuring deadlines are met and objectives are achieved.
Collaborate with other departments to gather information and facilitate cross-functional communication.
4. Meeting Coordination:
Schedule and coordinate internal and external meetings, including logistics and catering as necessary.
Attend meetings with the Vice President, take minutes, and follow up on action items.
5. Confidentiality and Discretion:
Handle sensitive information with the utmost confidentiality and professionalism.
Exercise discretion and sound judgment in decision-making and problem-solving.
6. Relationship Management:
Build and maintain positive relationships with internal and external team members.
Act as a liaison between the Vice President and other team members, clients, and partners.
Qualifications:
– Bachelor’s degree in Business Administration or a related field (preferred).
– 3+ years of experience in an executive assistant or administrative support role, preferably in a corporate environment.
– Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
– Excellent written and verbal communication skills.
– Strong organizational skills with the ability to prioritize tasks effectively.
– Effective time management skills
– High level of professionalism and discretion in handling confidential information.
– Ability to work independently and as part of a team, demonstrating initiative and resourcefulness.
