About The Role

The Executive Administrative Assistant for Supply Chain & Technical & Production (T&P) is a vital support role reporting directly to the Vice Presidents of these departments. This position is designed to provide high-level administrative assistance to senior leadership, ensuring smooth and efficient daily operations. The successful candidate will manage complex calendars, coordinate meetings and travel arrangements, prepare professional materials, and handle confidential information with the utmost discretion. This role offers flexibility, being either remote or hybrid based on geographic location, with a strong preference for candidates residing within commuting distance to the Bridgewater, New Jersey headquarters.

The Executive Administrative Assistant serves as a key liaison among internal teams and external partners, facilitating effective communication and supporting leadership priorities. The role demands exceptional organizational skills, proactive problem-solving, and the ability to adapt to a fast-paced environment. The individual will play a crucial part in enhancing administrative processes, ensuring timely follow-up on action items, and supporting strategic initiatives across the supply chain and technical divisions.

Qualifications

  • High school diploma or equivalent required; advanced degree strongly preferred
  • 5+ years of executive or senior administrative support experience, preferably supporting multiple C-suite leaders
  • Proven experience managing complex calendars, meetings, and travel arrangements
  • Experience handling confidential information with discretion and professionalism
  • Familiarity with cross-functional team coordination and prioritization
  • Proficiency in Microsoft Office Suite and virtual meeting platforms
  • Experience with Concur Online Travel & Expenses and SAP is a plus

Responsibilities

  • Manage and prioritize complex calendars, appointments, and scheduling for multiple senior leaders
  • Coordinate internal and external meetings, including agenda setting, logistics, materials preparation, and follow-up actions
  • Arrange detailed travel itineraries, accommodations, transportation, and expense reporting for leadership travel
  • Prepare, review, and organize presentations, reports, correspondence, and leadership materials with accuracy and professionalism
  • Monitor incoming requests and communications, ensuring timely responses and effective prioritization to support decision-making
  • Act as a liaison with internal teams and external partners, maintaining professionalism and confidentiality at all times
  • Track action items, deadlines, and follow-ups to ensure leadership priorities are met
  • Assist in meeting preparation, including document collection, briefing materials, note-taking, and post-meeting follow-up
  • Handle sensitive and confidential information with discretion, judgment, and integrity
  • Continuously seek ways to improve administrative processes and organizational systems for enhanced efficiency
  • Support additional duties as needed to meet business requirements across the leadership team
