We are looking for a highly organized and proactive Executive Assistant / Administrative Assistant to support senior leaders within our Non-Financial Risk Technology team.
This team provides critical operational controls and surveillance capabilities that help strengthen resilience against threats and fraudulent activities, supporting functions such as records management, business continuity, and due diligence.
📍 Location: Fully On-site (minimum 3 days/week in office)
🗂️ Interview Process: 1–2 rounds (both conducted in person)

🔑 Key Responsibilities
As an Administrative Assistant, you will:
- Serve as the first point of contact for inbound/outbound calls, handling sensitive information with discretion
- Manage complex calendars and scheduling via Outlook, including meetings, conference calls, and resolving conflicts
- Coordinate across departments to collect information, respond to requests, and support senior stakeholders
- Organize internal events, including logistics, conference rooms, catering, and multimedia requirements
- Handle domestic & international travel arrangements (flights, visas, itineraries, hotels, transportation)
- Prepare and submit expense reports using tools such as Concur, ensuring accuracy and follow-ups
- Create and format documents using Microsoft Office Suite & Adobe Pro
- Maintain and support collaboration tools like Microsoft Teams and SharePoint
- Assist with onboarding/offboarding, mail groups, office supplies, visitor management, and mail handling
- Provide ad hoc support and backup coverage to other assistants as needed

- Proven experience supporting multiple senior executives with heavy calendar management
- Strong ability to multi-task and thrive in a fast-paced environment
- Excellent communication, organization, and problem-solving skills
- High level of attention to detail and professionalism
- Proficiency in Microsoft Office (Outlook, Excel, PowerPoint)
- Familiarity with O365, Microsoft Teams (preferred)
- Experience in financial services industry is a plus
- Knowledge of tools such as Concur, SharePoint, Fieldglass, Ariba, CSTO is advantageous
- Flexible and adaptable to changing team needs
- Bachelor’s degree preferred OR 5+ years of relevant corporate experience
