Salary range: $51,000-$57,000

Job Summary:

The Executive Administrative Assistant will have a pivotal role in providing administrative support and ensuring a smooth and efficient process for executive-level activities. This position will be responsible for managing schedules, coordinating meetings, handling correspondence, and providing administrative support to the Board of Directors. The ideal candidate will be a detail-oriented, professional individual with exceptional organizational skills and the ability to thrive in a complex, fast-paced environment.

Experience/Qualifications

Associate or bachelor’s degree

Three to five years of experience as Executive Assistant or Administrative Assistant and Office Administrative Experience

Demonstrated experience in successful project management

Working knowledge of Microsoft Office Suite, and Zoom and are technologically savvy.

Dependable, can exercise good judgment, and deal with confidential information with discretion

Knowledge of human services and resources for victims/survivors of sexual violence, intimate partner violence, sex trafficking and prevention

Excellent interpersonal skills and the ability to collaborate across departments and with community partners.

Strong attention to detail, organizational skills, planning, follow-through, and prioritization skills. The ability to problem solve, apply critical thinking and independently manage tasks with minimal supervision.

Essential Functions:

Executive Support

Managing the Executive Director’s workflow, including the triage and prioritization of requests.

Providing logistical support for internal and external organizational events

Serving as a thought-partner to the ED, and leadership team, challenging ideas and offering a different perspective.

Maintaining calendar by anticipating calendar requirements, keeping the calendar up to date, arranging travel logistics, sending reminders as needed, and scheduling appointments, meetings, or conference calls.

Supporting the prioritization of tasks by tracking to-dos and slating tasks appropriately.

Preparing the meeting packets by compiling necessary resources and anticipating needs, including tracking and performing follow-up activities and deliverables.

Maintaining paper and electronic filing systems, preparing meeting materials, coordinating meeting logistics, and taking the lead on copy editing.

Proactively following up with the leadership team on key tasks to avoid losing sight of objectives.

Assist in managing and preparing for key deadlines and presentations
