About The Role
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the SBA Group Manager and other senior executives within the organization. This role is vital in ensuring the smooth operation of executive functions, managing complex schedules, coordinating meetings, and handling confidential information with utmost discretion. The Executive Assistant will serve as a key liaison between executives, clients, suppliers, and internal teams, facilitating effective communication and operational efficiency. The ideal candidate will possess excellent multitasking abilities, strong communication skills, and a keen eye for detail, contributing significantly to the success of our leadership team.
Qualifications
- High School diploma or equivalent
- Minimum of 5 years of experience in an administrative support role, preferably supporting senior executives
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong organizational and time-management skills
- Excellent communication and interpersonal skills
- Ability to handle sensitive and confidential information with discretion
- Experience in event planning and travel coordination
- Knowledge of office management procedures and systems
- Ability to work independently and collaboratively in a team environment
- Attention to detail and problem-solving skills
Responsibilities
- Manage, prioritize, and coordinate schedules for conference calls, meetings, and seminars to avoid conflicts and ensure timely execution
- Plan and organize office events, including logistics, booking meeting rooms, arranging AV facilities, sending invitations, and coordinating catering services
- Prepare and collect audio-visual presentation materials for conferences and meetings
- Summarize reports, white papers, proposals, and other documents as needed
- Assist in preparing office budgets and processing executive expense reports
- Coordinate travel arrangements for overseas trips, including land transfers, hotel bookings, and itinerary planning
- Organize team-building activities, celebrations, and employee communication events to promote a positive work environment
- Handle confidential salary, benefits administration, and personnel movement in collaboration with the HR department
- Ensure all corporate reports and correspondence are properly filed, secure, and confidential
- Perform administrative duties with a high level of responsibility and confidentiality, communicating policies and decisions to relevant staff
- Serve as a liaison between executives and clients, suppliers, and business partners to facilitate effective communication
