Job Summary:
An industry-leading healthcare organization is seeking an experienced Senior Executive Administrative Assistant to support senior leadership within a fast-paced research and innovation environment. This role is responsible for managing executive calendars, coordinating travel and meetings, supporting onboarding activities, and handling confidential business operations with professionalism and discretion. The ideal candidate will possess strong organizational abilities, executive-level communication skills, and the ability to manage multiple priorities independently.
Key Responsibilities:
• Provide advanced administrative support to senior executive leadership and cross-functional teams
• Manage complex executive calendars, meeting coordination, and scheduling priorities
• Coordinate domestic and international travel arrangements and process expense reports
• Proactively resolve scheduling conflicts and support leadership with priority management
• Support onboarding activities, office setup coordination, and visitor management
• Coordinate meetings, presentations, catering, logistics, and conference room arrangements
• Assist with correspondence, department communications, and document preparation
• Maintain departmental files, records, and distribution lists in compliance with company procedures
• Support video conferencing, Teams meetings, and remote meeting logistics
• Process invoices, manage office supplies, and coordinate shipments and courier services
• Collaborate closely with other administrative professionals to support organizational operations
• Handle confidential and business-sensitive information with discretion and professionalism
• Provide backup administrative support to additional teams as needed
• Support vendor coordination and budget tracking activities when required
Required Qualifications:
• Bachelor’s degree or some college education preferred
• Minimum 7 years of executive administrative support experience
• Experience supporting senior leadership or executive-level stakeholders
• Strong proficiency with Microsoft Office Suite, Microsoft Teams, SharePoint, Concur, and presentation tools
• Excellent organizational, multitasking, and calendar management skills
• Strong written and verbal communication abilities
• Ability to prioritize competing responsibilities in a fast-paced environment
• Demonstrated professionalism, accountability, and attention to detail
• Experience handling confidential and sensitive information
• Strong problem-solving and critical-thinking capabilities
Preferred Qualifications:
• Experience supporting executives within pharmaceutical, biotechnology, healthcare, or research environments
• Experience coordinating onboarding and cross-functional administrative operations
• Familiarity with travel and expense management systems
• Experience supporting hybrid and remote work environments
• Ability to build collaborative relationships across departments and leadership teams

Pay Range: $25/hr to $30/hr
