JOB SUMMARY This position assists the high school activities director, the athletic director, the counseling office staff, and the main office staff. The position provides secretarial, bookkeeping, and other support services to administration, students, staff, parents, and the public.

DUTIES AND RESPONSIBILITIES This list of essential functions is not exhaustive and may be supplemented as necessary in consultation with the employee(s) involved.

Provides primary or back up responsibility for Associated Student Body (A.S.B.) accounting records. Collects, receipts, and deposits A.S.B. monies; processes purchase requests and purchase orders; secures payment approval; initiates payment; maintains accurate ledgers; prepares monthly and annual reports for activities director, athletic director, principal, district, state, and each club; compiles and processes fund-raising activity forms and reports; maintains accurate A.S.B. checking account; coordinates budget with A.S.B. director. May process collections for A.S.B. cards, parking permits, and yearbooks.
Assists the activities director in advising all student groups on fund-raising rules and procedures; assists the activities director as needed.
Assists the athletics director in advising all coaches/advisors on proper procedures for purchase orders and payment procedures for goods and/or services.
Assists in the training and supervision of student assistants.
May administer scholarship funds as needed. May maintain accurate scholarship fund records; may submit annual reports on scholarship activities; may assist the career counselor with preparing and submitting scholarship funds to the appropriate schools.
May assist the counseling office. May provide data entry assistance; may answer telephones and respond to inquiries; may process student withdrawals; may assist in filing; may mail progress reports.
May provide back up coverage for main office secretary. May greet students, parents, staff, and visitors entering the office and provide assistance; may answer telephones and respond to inquiries; may receive and distribute mail to staff; may assist the office manager.
May provide back up secretarial support to administrators and staff. May format and type correspondence, staff evaluations, forms, memos, reports, and the daily student bulletin; may collect, records, and forward all general fund monies to the district accounting office; may prepare monthly statements.
May assist staff in coordinating printing and copying needs; may assist in troubleshooting problems with office equipment and call for service as needed.
Performs related duties consistent with the job description and employee assignment.

REPORTING RELATIONSHIP

Reports to the Assistant Principal or designee

WORKING CONDITIONS Works in office environment; frequent interruptions; daily exposure to visual display terminal; exposure to infectious diseases; may need to sit for prolonged periods; may be required to deal with angry or distraught students, staff, and parents; required to deliver cash deposits to area banks.

MINIMUM QUALIFICATIONS

Education and Experience

High school graduation or equivalent with one year of office experience preferably involving bookkeeping skills; experience working with adolescents and the public; school district work experience preferred.

Allowable Substitution

Training in secretarial procedures or record-keeping may substitute on a month-to-month basis for the required experience.

Knowledge, Skills, and Abilities

Knowledge of general secretarial procedures; knowledge of correct grammar, spelling, and English usage; keyboarding skills at 50 words per minute; ability to operate office equipment; ability to organize and set priorities; ability to work independently with minimal supervision; ability to coordinate assignments from multiple staff members and programs; ability to read, write, speak, and compute effectively; ability to oversee the work of students; ability to exercise independent judgment, remain flexible, and work effectively under pressure; ability to maintain confidential information; ability to interact with adolescents in a warm, confident manner; ability to establish and maintain effective working relationships with staff and the public.

Licenses/Special Requirements

Ability to operate computers and learn specific software programs; ability to operate 10-key calculator by touch; availability to work extra hours to meet deadlines and complete assignments.

SALARY: Salary is based upon the current 2023-24 NEOPA Salary Schedule Salary (Level F); placement on the salary schedule will be determined by Human Resources DOE. FLSA Non-Exempt.

WORK YEAR: 195 days per year, 7.0 hours per day

BENEFITS: Washington state health insurance coverage (SEBB) and a Washington state retirement package, for eligible positions. Generally, you are eligible for SEBB benefits if you are anticipated to work at least 630 hours per school year (September 1 through August 31).
