We are seeking a highly organized and detail-oriented Billing Specialist & Administrative Assistant to manage accounts receivable and office administration for our marketing agency. This role will focus on accurate data entry, weekly and monthly client invoicing, auditing invoices, and reconciling payments while also overseeing office operations, including ordering supplies and coordinating logistics for meetings and events.
Key Responsibilities:
Perform accurate data entry of client billing information and financial records
Generate and send weekly and monthly invoices to clients
Audit invoices to ensure accuracy and resolve discrepancies
Reconcile payments and maintain up-to-date accounts receivable records
Address client inquiries related to billing and payments in a professional manner
Assist with financial reporting and support accounting processes as needed
Office Administration:
Order and manage office supplies to ensure smooth operations
Coordinate logistics for meetings and company events, including scheduling and setup
Maintain organized records and assist with general office operations
Support staff with administrative tasks as needed
Identify opportunities for process improvements and contribute to the enhancement of office operations.
Requirements:
Proven experience in an accounting receivable role is required.
Proficiency in Microsoft Office Suite (especially Excel) and familiarity with accounting software (e.g., QuickBooks, SAP, Sage Inacct).
Strong attention to detail and accuracy in data entry and record-keeping.
Basic knowledge of accounting principles and practices.
Excellent organizational and time-management skills.
Strong communication skills, both written and verbal.
Ability to work both independently and collaboratively in a team environment.
Work Schedule and Location:
Full-time, based in Kansas.
Hybrid position with a combination of in-office and remote work.
