ADMINISTRATIVE SECRETARY

37.5 Hours per Week

The starting pay range for this position is $17.46 – $22.93 per hour

The State of New Hampshire, Department of Transportation, Bureau of Highway Maintenance, has a full-time vacancy for an Administrative Secretary.

Summary: To supervise clerical support staff, evaluate their performance, and to develop, and monitor the administrative and office management needs for the Highway Maintenance headquarters office in addition to supporting District administrative and clerical staff as necessary in six statewide District Offices.

MINIMUM QUALIFICATIONS:

Education: Associate’s degree from an accredited institute of higher education or two (2) years of college with a major study in secretarial science, business administration or computer science.

Experience: Two years of experience in a secretarial position involving supervisory, office management or administrative support experience. Each additional year of approved work experience may be substituted for one year of required formal education.

License/Certification: Justice of the Peace/Notary Public (must possess or obtain within one year of employment).

SPECIAL REQUIREMENTS: Must have a telephone or acceptable means of communication. All accountabilities must be performed in accordance with State and Department rules and policies, including risk management, safety and environmental standards, regulations and administrative orders.

Responsibilities:

Prepares payment vouchers and receivables for all expenditures relating to the Bureau headquarters, and the bulk requisitioning of supplies and equipment for the six District Offices.

Coordinates Bureau payroll and leave balance audits as needed in NH First. Collects and audits all data regarding leave records, personnel records, and other confidential information. Prepares and processes paperwork for personnel actions for bureau staff, including employment paperwork for new hires.

Conducts research work, compiles data, reports, bid proposals, out-of-state travel requests, service contracts and resolutions for Bureau Administrator, including responses to agencies, individuals, and suppliers relative to financial expenditures. Reviews and replies to correspondence as directed.

Performs administrative secretarial duties as necessary, including word processing, filing, managing incoming calls (general public, outside vendors, other agencies and elected officials), or scheduling meetings.

Schedules work assignments for administrative support staff, including establishing work priorities, giving instruction, and reviewing work for accuracy.

Prepares written reports and visual presentations for Bureau staff as required.

Relays urgent information to appropriate authorities and responds to urgent situations in the absence of a supervisor or Bureau Administrator.

Assists the Bureau Administrator in the implementation of agency policies and procedures, including conducting research, collecting data, and reporting results to agency staff.

Monitors the training needs of clerical and supervisory staff and assists in the implementation of training procedures. Assists with the planning, preparation, logistics and operation of training sessions, conferences or workshops hosted by the Bureau.
