Job Summary:

Baker Landscaping & Concrete, LLC is seeking a highly organized and detail-oriented Administrative Assistant to support our operations by managing key administrative tasks, including scheduling dumpster rentals, uniform maintenance, GPS and fuel system tracking, and various clerical duties. This role requires strong multitasking abilities, excellent communication skills, and proficiency in maintaining records and processing invoices.

Supervisory Responsibilities include but not limited to:

Duties/Responsibilities:

Schedule dumpster rentals, process payments, generate and track invoices in LMN, maintain cost records, and coordinate with accounting for invoicing and payments.
Order, track, and distribute uniforms for new hires, approve invoices, manage payroll deductions, and collect uniforms from terminated employees.
Batch non-job-related receipts and invoices, ensure accurate documentation, and submit reports to accounting.
Set up and maintain GPS tracking (Azuga) for trailers, machines, dumpsters, and vehicles; manage maintenance schedules and submit weekly reports.
Generate and submit fuel system reports and notify Accounting of monthly fuel usage.
Sort mail, match packing slips with invoices, assist with Snappi and tablet management, provide backup phone support, and serve as a backup to the Operations Administrator.

Required Skills/Abilities:

Experience in landscaping, horticulture, or related fields preferred.
Strong attention to detail and a positive attitude.
Ability to work well in a team environment as well as work alone.

Education and Experience:

High School Diploma
Commercial Applicator Certification required
Category 3 Turf and Ornamental preferred.
Experience in landscaping, horticulture, or related fields preferred.
Ability to operate and maintain landscaping equipment.

Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer.
Occasional standing, walking, and bending to retrieve files or office supplies.
Ability to lift up to 20 pounds for handling office supplies, mail, or uniform shipments.
Frequent use of hands for typing, filing, and handling documents.
Ability to clearly communicate verbally and in writing.
Occasional travel within the office or job sites for administrative support tasks.

Work Environment and Conditions:

Office-based role
Occasional interaction with field employees and vendors.

Job Type: Full-time

Pay: $18.00 – $20.00 per hour

Expected hours: 40 per week
