POSITION SUMMARY:

The Office Coordinator is responsible for overseeing daily office functions and supporting administrative operations across departments. This position serves as the primary point of contact for incoming calls and visitors, ensures the front office, breakrooms, and conference rooms are maintained and stocked, manages supply inventory, aids with payroll-related tasks, and supports customer and vendor communications. The Office Coordinator also provides support to the Human Resources department by assisting with tasks such as interview scheduling, document scanning, naming, and electronic filing. This role plays a key part in creating a professional, organized, and efficient work environment.

ESSENTIAL JOB FUNCTIONS:

Greeting visitors in a professional and courteous manner; provide accurate information and direct them appropriately.
Perform receptionist duties including screening and routing incoming calls, taking messages, and maintaining the company phone directory.
Serve as a point of contact for office vendor issues (cleaning, maintenance, landscaping, etc.); coordinate repairs and maintain an accurate vendor contact list.
Monitor office supplies and maintain appropriate inventory levels; order supplies as needed.
Schedule meetings, prepare conference and training rooms, and coordinate catering for onsite events
Maintain cleanliness and organization of front office and lobby areas.
Provide support to the HR department and assist with various tasks and projects as assigned.
Handles confidential documents with the utmost discretion
Assist HR, Marketing, and Accounting with preparations for company events and mailings.
Helps with ordering, intake, and outbound uniforms. Assists with the Company uniform billing audits weekly.
Perform other duties and special projects as assigned by management.

EXPERIENCE REQUIREMENTS:

Demonstrated ability to perform the physical and cognitive requirements of the role.
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
Experience with multi-line phone systems and general office technology is preferred.
Experience with administrative or office coordination.
Strong interpersonal, organizational, and time management skills.
Ability to multi-task and manage shifting priorities independently and effectively.
Professional demeanor and ability to maintain confidentiality.

EDUCATIONAL REQUIREMENTS:

High School Diploma or equivalent is required.
Associate or bachelor’s degree preferred.

WORK ENVIRONMENT:

This position operates in a professional office setting. The employee will regularly use standard office equipment including computers, phones, copiers, and printers. This is not a remote-based job opportunity. The incumbent will need to report daily (per schedule) and be physically present for this position.

PHYSICAL REQUIREMENTS:

Positions in this class typically require stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, typing, grasping, feeling, talking, hearing, seeing, and repetitive motions.

Work Classification: Light Work

Exerting up to 20 pounds of force occasionally, 10 pounds frequently, and/or negligible amounts constantly to move objects. Most tasks are performed while seated; however, some movement is required.
