Job Description
This position is responsible for coordinating purchasing for the Academic Affairs and Institutional Effectiveness Divisions of Minneapolis College, including materials, supplies, services, and equipment. This position is responsible for assisting in defining the division’s needs through specification development and value analysis. This position is also responsible for ensuring the proper administration of the State of Minnesota, MinnState and the Minneapolis College purchasing policies and procedures for various academic schools and instructors.

Required Qualifications
Math (arithmetic) sufficient to add, subtract, multiply and divide whole numbers, fractions, decimals; calculate percentages; and use simple formulas. Knowledge of the principles and practices of departmental purchasing.
Ability to read and comprehend a variety of materials including Minnesota Statutes, bid responses and MinnState policies. Must possess the ability to communicate to staff, purchasing policies and procedures as needed.
Knowledge of English sufficient to: speak, read, understand, and respond to a variety of written and spoken communications; apply accurate spelling and grammar in written communications; and communicate effectively with internal and external customers.
Skills in customer service sufficient to perform the duties described above with courtesy, respect, and interest in positive problem solving manner. Answer the phone, refer callers, and greet visitors with courtesy and respect. Provide prompt, courteous and accurate information to customers in person, on the phone, and through e-mail and other written correspondence.
Knowledge of current data entry procedures, including filing and storage; typing/keyboarding sufficient to perform skilled typing tasks with speed and accuracy; and word processing sufficient to use software to create, format, edit, print, and save a variety of documents, including spreadsheets.
Skill in database management to enter and retrieve data for reports; sort or classify information into existing databases according to established guidelines; and collect, compile, maintain, and present data from multiple databases. Ability to create spreadsheet s, use software applications, such as Microsoft Office, to enter, compile, store, and retrieve data in a variety of reports.

SALARY:

Salary range for the Office and Administrative Specialist Intermediate classification is in accordance with the 2023-2025 American Federation of State, County and Municipal Employees (AFSCME) labor contract. Placement within the salary range for this position is determined on the basis of relevant experience/education and in accordance with the AFSCME agreement.
