The City of De Soto is seeking a highly organized and detail-oriented Public Works Administrative Assistant to join our Public Works Department. This role provides essential administrative support to the Streets, Water, and Wastewater divisions, assisting with department records, accounts payable, supply coordination, and customer service.

This role provides essential administrative support to the Streets, Water, and Wastewater divisions, assisting with department records, accounts payable, supply coordination, and customer service.

Essential Duties and Responsibilities:

(Duties listed below do not include all tasks which may be performed.)

Serve as the first point of contact for the Public Works Department, responding to inquiries from residents, contractors, and city staff.
Enter and manage work orders, dispatch crews for emergency assignments, and handle citizen requests through iWorQ.
Assist with maintaining department records, including vehicle maintenance logs.
Support the Public Works Director with administrative tasks, such as scheduling, correspondence, and record-keeping.
Process invoices, reconcile purchasing cards, and create purchase orders.
Order and manage inventory of department supplies and uniforms.
Maintain the department’s on-call schedule.
Attend and document minutes for department meetings, ensuring follow-up on action items.
Act as a licensed notary for department-related needs.
Perform additional administrative duties and special projects as assigned.

Knowledge, Skills, and Abilities

Knowledge of basic accounting principles and office administration practices.
Understanding of Public Works operations and responsibilities.
Proficiency in creating and maintaining charts, graphs, spreadsheets, and databases.
Strong oral and written communication skills, including preparing accurate meeting minutes and reports.
Ability to respond effectively to complex inquiries from residents or staff.
Proficiency in operating standard office equipment and software programs.
Ability to establish and maintain effective working relationships.
Strong organizational skills and attention to detail.

Certificates and Licenses

Must possess or have the ability to obtain a valid Kansas driver’s license.
Must be a licensed notary or have the ability to obtain licensure within six months of hire.

Required Education and/or Experience

High school diploma or GED required.
Two to three years of related experience and/or an associate degree in office procedures or a related field, or an equivalent combination of education and experience.

Preferred Education and/or Experience

Two to three years of related experience in Public Works/Government settings or an associate degree from a college or university.
Familiarity with iWorQ or similar work order management software.

Supervision

This position does not supervise other employees.

The working conditions are normally quiet during normal working hours. During peak operational periods, such as emergency responses or high-priority projects, the work environment can become fast-paced and hectic. This is sedentary work requiring the exertion of up to 15 pounds of force occasionally, and a negligible amount of force frequently or constantly to move objects. Vocal communication is required for expressing or exchanging ideas by means of the spoken word. Hearing is required to perceive information at normal spoken-word levels. Visual acuity is required for preparing and analyzing written or computer data, operating machines, determining the accuracy and thoroughness of work, and observing general surroundings and activities.
