GENERAL DESCRIPTION
Educare of Omaha, Inc. is a collaborative partnership between the Early Head Start/Head Start, Omaha Public Schools and the Buffett Early Childhood Fund. Comprised of the two Educare Omaha Schools (Kellom and Indian Hill) and the three Early Learning Centers (Skinner, Gateway, and Kennedy), the mission of Educare of Omaha, Inc. is to promote school readiness by enhancing the social and cognitive development of children ages 0 to 5 through the provision of evidence-based education, health, nutritional, social, family engagement and other services to enrolled children and their families.
The Administrative Assistant is responsible for answering all incoming phone calls, greeting visitors at the main entrance, entering data, making copies, distributing correspondence, assembly of materials for distribution and assisting with mailings. The Administrative Assistant is also responsible for weekly attendance calls to families for child absences.
Schedule: This position is full-time, 40 hours per week. The schedule will be Monday-Friday 9:00am-5:30pm with flexibility available as needed. This position is based out of our Educare of Omaha, Inc. at Early Learning Center at Kennedy (3200 N 30th St.) location.
Classification: Non-Exempt/Hourly
Reports to: School Director
Supervises: The Administrative Assistant is a non-supervisory position.
DUTIES AND RESPONSIBILITIES
General Clerical Support
Answers incoming calls and inquiries and directs callers as necessary.
Greets families and visitors and maintains order of entry to the facility.
Sets up meeting room reservations and maintains meeting calendar on Outlook.
Enters data into Child Plus database and create reports as needed.
Assists with copy requests and fax transmittals.
Receive mail and sort mail for facility and distributes correspondence.
Assists with the assembly of materials for distribution and mailing.
Maintain Child Plus database with current family contact information and update as needed.
Child Attendance
Makes daily contact with families if children are not in attendance and documents reason for absence in ChildPlus ensuring all children have an attendance code documented daily. Notifies the FACE Specialist and/or FES if unable to contact a family.
Administrative Support
Maintains printers and copier paper levels in the staff work room and fills supply requests from classroom staff and others and maintains supply inventory.
Creates and maintains classroom and office door labels, mailbox labels and call lists for school and updates as needed.
Assist with event promotions and parent participation as needed.
Creates and posts necessary communication to families, such as school closings, as needed.
Assists with basic technical support as needed.
Receives orders, tracks package slips and ensures purchase orders are submitted to Finance monthly.
Completes inquiry sheets and submits them to FACE.
EDUCATION/QUALIFICATIONS
High school diploma and/or equivalent required.
Previous receptionist experience preferred.
Experience with MS Word, Excel, and willingness to learn other software programs.
Must be able to pass a background check that meets compliance standards.
