Job Summary
Provide high-level, confidential administrative support to the CEO, CMO, Board of Directors, and executive leadership. Reporting directly to the CEO, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant also serves as a liaison to the Board of Directors and senior management teams; organizes and coordinates executive outreach and external relations efforts and oversees special projects. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
Primary Job Responsibilities
Coordinate monthly Board activities including drafting of meeting agendas, compilation of meeting materials, distribution and minutes.
Maintain Board Effect platform.
Supervise the Administrative Coordinator.
Ensure compilation of materials and PowerPoint slides for Leadership Meetings and distribution of minutes and materials are completed by Administrative Coordinator.
Coordinate and submit annual surveys and questionnaires.
Participate in and support activities/projects of the CEO including, but not limited to, scheduling, meetings, events, travel arrangements, etc.
Prepare documents, reports, and correspondence as needed for CEO
Oversee the master contract files process for the organization.
Ensure organized and efficient operation of the administrative office.
Coordinates the Strategic Priority process and Department Business Plans to ensure the development of reports and presentations for assigned committees.
Utilize discretion, confidentiality, and good judgment in handling sensitive matters.
To participate and/or coordinate other administrative duties as assigned.

Required Qualifications
Associate’s degree in business, leadership, organizational management or equivalent.
5+ years’ experience (within last 5 years) in an executive administrative assistant role.
Strong oral, written communication, and organizational skills along with ability to multi-task independently.
Outgoing personality and ability to work well with others.
Demonstrated organizational and time management skills.
Highly proficient working with Microsoft Office suite (Word, Teams, Excel, PowerPoint).
Preferred Qualifications
Bachelor’s degree in business, leadership, organizational management or equivalent.
3+ years’ supervisory experience (within the last 5 years).
Project management experience

Wage Range: $70,000-$75,000/year (Actual wage based on relevant experience)
