Summary

The Administrative Assistant will provide support to the organization’s staff by performing various administrative tasks. Their role involves managing office operations, supporting executive leadership, and assisting with day-to-day administrative functions. Responsible for confidential and time sensitive material. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected. Will report directly to CEO.

Provides administrative support to ensure efficient operation of office.
Answers phone calls, schedules meetings and supports visitors.
Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
Provides Polite and professional communication via phone, e-mail, and mail.
Supports team by performing tasks related to organization and strong communication.
Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
Provides information by answering questions and requests.
Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
Manage Accounts payable and Accounts Receivable via Quickbooks.
Contributes to team effort by accomplishing related results as needed.
Perform other related duties and responsibilities as required.
Requirements:

Job Requirements

High school diploma or equivalent
Proficiency with QuickBooks
Proven administrative experience
Bilingual (English and Spanish)
Excellent organizational and time management skills; ability to effectively handle multiple, concurrent assignments and activities.
Computer Skills: Proficiency in the use of Microsoft Office products (Excel, Word)
Administrative Writing and verbal communication Skills

Communicate clearly and concisely, both orally and in writing.
