GOPAC seeks an energetic and motivated professional to join our growing team as Executive Administrator!
The Executive Administrator provides administrative, marketing, and operational support to the CEO and supports the daily office operations. This role holds significant responsibility as it supports and prioritizes the CEO’s duties to increase the GOPAC Network’s impact; assists with managing relationships; and liaises with internal and external stakeholders. Â
Position Scope and Responsibilities:Â
Manage scheduling requirements, including media appearances, speaking engagements, events, and meetings; ensure CEO’s time is used effectively and efficiently. Â
Ensure CEO is thoroughly prepared for all engagements with briefing materials.Â
Organize, update, and maintain CEO’s contacts and calendar; balancing and prioritizing incoming internal and external communications and requests.Â
Maintain receipts, prepare, and process expenses reports for the CEO.Â
Manage sensitive matters with a strict level of confidentiality and discretion.Â
Draft and prepare correspondence on behalf of the CEO, including regular social media posts promoting the GOPAC Network’s organizations.Â
Promote, solicit, and secure the CEO’s speaking engagements.Â
Prepare presentations, agendas, reports, special projects and other documents in support of the CEO’s objectives.Â
Manage office internship program.Â
Monitor and order office and pantry supplies.Â
Receive and distribute mail and packages; manage shipping and courier services.Â
Set up meeting rooms and common areas as needed for meetings and events.Â
Manage facilities-related vendor relationships.Â
Maintain employee access credentials and security protocols.Â
Maintain employee parking records. Â
Coordinate with building management on maintenance, security, and repairs.Â
Required Skills and Experiences:Â
Minimum of three years of related experience.Â
Excellent written and verbal communication skills.Â
Meticulously detail oriented with strong organizational skills.Â
Ability to prioritize, multitask, and meet deadlines in a fast-paced environment.Â
Advanced proficiency in Microsoft office and other office productivity tools, with an aptitude to learn new software and systems.Â
Motivation to take initiative, work independently, and collaborate as a member of a dynamic team.Â
Professionalism and confidence to work with elected leaders, investors, and stakeholders.Â
Ability to maintain a flexible work schedule, including some evenings, weekends, and occasional travel, as dictated by the needs of the CEO.Â
Education:Â
Bachelor’s degree required. Advanced degree or recognized credentials or achievements from professional fundraising organizations preferred.
