Job Overview:

Reporting directly to the CEO, the Executive Administrator provides high-level administrative support in a dynamic, mission-driven environment. This role serves as the primary liaison for internal and external stakeholders, ensures seamless coordination of the CEO’s schedule and activities, and oversees strategic initiatives and special projects. The ideal candidate will be highly organized, proactive, and capable of managing multiple priorities with discretion and professionalism.

Key Responsibilities:

Manage the CEO’s calendar, appointments, travel plans, and correspondence.

Prepare reports, presentations, and documents for meetings and engagements. Serve as a “gatekeeper” and “gateway” for communication, ensuring efficient information flow.

Act as a primary point of contact for internal teams, board members, and external partners.

Foster relationships that contribute to organizational success and external partnerships.

Communicate on behalf of the CEO with stakeholders, maintaining professionalism and confidentiality

Coordinate and execute special projects aligned with organizational priorities.

Support strategic initiatives, including outreach and relationship cultivation.

Monitor and follow up on critical tasks and projects to ensure timely completion.

Maintain high standards of discretion while handling confidential information. Prioritize competing demands, ensuring the CEO’s time is optimized for maximum impact.

Provide event and hospitality support, ensuring a welcoming and professional atmosphere.

Qualifications.

Bachelor’s degree required.

5–10 years of executive support experience, preferably at the C-suite level.

Strong organizational and multitasking skills with attention to detail.

Exceptional written and verbal communication abilities.

Proficiency in Microsoft Office Suite and other relevant tools.

Proven ability to maintain confidentiality and demonstrate emotional maturity.
