Job Summary
Longwood Fire Company (LFC) is a rapidly growing combination fire department that provides fire suppression, emergency medical services (both Basic Life Support and Advanced Life Support), as well as special rescue services. LFC is committed to professionalism and leadership within emergency services the Commonwealth of Pennsylvania.
The Administrative Assistant is a detail-oriented individual with strong skills in transactional accounting and clerical duties. This full-time position requires 40 hours per week onsite, with potential for remote work options after the probationary period of six months. The ideal candidate will thrive in a dynamic and progressive team environment dedicated to enhancing public safety in the Kennett/Unionville communities.
Duties
Files physical copies in a timely and orderly fashion.
Greet and assist members of the public with general inquiries.
Assists administrative team with tasks including but not limited to class scheduling, advertising, and certification management at the direction of the Fire Chief.
Other duties and responsibilities as assigned by the Fire Chief, as needed.
Recording accounting transactions in financial software
Processes approved vendor bills for payment.
Pays vendor bills using bank bill pay function; generates checks when necessary.
Records credit card receipts weekly and reconciles monthly credit card statements.
Makes deposits using remote deposit machine or at bank, records deposits in accounting system.
Scans and electronically files in an organized manner; attaches documents to accounting system files.
Answers phone calls and directs inquiries appropriately.
Receives and distributes mail.
Requirements
Proven experience as an Administrative Assistant or in a similar clerical role.
Minimum of 3 years of relevant professional experience.
Advanced Excel skills.
Familiarity with QuickBooks Online and SharePoint.
Strong ability to work effectively in a team.
Timeliness and efficiency in task completion.
Demonstrated success in prioritizing tasks.
Excellent communication and relationship-building skills.
Comprehensive understanding of HIPAA privacy and security guidelines when accessing, using, and disclosing patient PHI.
Personal integrity, credibility, and dedication to organizational mission.
Attention to detail with strong proofreading skills to ensure high-quality documentation.
Ability to work independently as well as collaboratively within a team environment.
