Who The Client Is: The client operates within the hygiene and environmental services industry in Australia, offering specialized solutions such as mould remediation, ventilation system installation, and germ control. Serving both residential and commercial sectors, they focus on improving indoor air quality and creating healthier living and working environments. Their operations span multiple states and are supported by modern equipment and techniques designed for long-term, effective results.
Role Overview: We are seeking a highly organized and proactive Executive Assistant to support a dynamic and fast-paced executive based in Fiji. This role goes beyond traditional administrative duties and requires a self-starter with excellent communication skills, proficiency in Microsoft Office, and the ability to manage social media platforms. The ideal candidate is resourceful, detail-oriented, and confident in handling a broad range of tasks independently and efficiently.
Key Responsibilities:
Provide high-level administrative support to the executive, including calendar management, travel coordination, and meeting scheduling
Serve as the first point of contact for customer inquiries, providing professional and courteous service via email and other channels
Assist with drafting and formatting reports, documents, presentations, and correspondence using Microsoft Office (Word, Excel, PowerPoint, Outlook)
Manage and monitor social media accounts, schedule content, and engage with online communities as directed
Maintain confidentiality and handle sensitive information with discretion
Organize and maintain digital files and records
Coordinate with internal teams and external stakeholders to ensure tasks are completed on time
Perform general research and compile data to support executive decision-making
Take initiative to streamline administrative processes and improve efficiency
Requirements
Minimum 3 years of proven experience as an Executive Assistant, supporting senior leadership or business executives
Demonstrated experience in social media management across platforms such as Facebook, Instagram, and LinkedIn
Excellent written and verbal English communication skills
High-level proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
Strong organizational and multitasking abilities
Self-motivated and able to work independently in a remote setting
Excellent attention to detail and problem-solving capabilities
A proactive, reliable, and trustworthy work ethic
Comfortable handling confidential information
