We are seeking anExecutive Assistantto join our team. This is a hybrid opportunity, requiring the employee to work onsite in our Waltham, MA office 4 days a week.

Job SummaryThe Executive Assistant executes at a high level of professionalism and has the ability to tackle numerous projects of varying sizes with appropriate attention to detail based on the level of urgency required to get the work accomplished. This position is based at the company’s headquarters in Waltham, MA and supports Imprivata’s Executive team with a solid line reporting structure to Imprivata’s Chief People Officer. This position supports the company’s leaders with a variety of administrative tasks such as calendar management, responding to requests, making travel arrangements, team meeting organization, and completing expense reports.

Duties And Responsibilities

Calendar management and scheduling. Works closely and effectively with Executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately.

Coordination of travel arrangements and adjusting thoroughly as plans change.

Complete expense reporting accurately and timely within the established guidelines.

Coordination of department/team meetings as needed.

Coordinate food/catering orders to support meetings as needed.

Presentation preparations as needed.

Answers inquiries on phone/email and first point of contact for in-person visitors for meetings with established leaders.

Monitor and maintain record keeping as appropriate, including highly sensitive and confidential information. Distributes established reports as needed.

Planning, and organizing logistics and administrative requirements of seminars, conferences, meetings, and special events and communicates agendas as needed to necessary leaders and attendees.

Take on project work as assigned.

Other duties as assigned and required.

Required Qualifications

Associate’s degree in business or a closely related field and 5+ years of professional experience.

Experience supporting at the senior leadership level required.

Previous relevant administration coordination experience.

Strong MS Office skills – Outlook, Word, Excel, and PowerPoint.

Analytical skills to resolve administrative issues or roadblocks to successful completion of tasks.

Must be well-organized and have strong attention to detail.

Time management skills with the ability to prioritize and multi-task.

Ability to communicate effectively both verbally and in writing and in a manner that is tactful, firm at times while maintaining professionalism, and representative of a senior company leader.

Self-motivated and adaptable to change and ambiguity.

Ability to work independently and take ownership of work performed is a must.
