Job Overview:

We are seeking a highly organized and detail-oriented Executive Assistant to support our CEO in managing both professional and personal tasks within Saudi Arabia. The ideal candidate will be responsible for streamlining daily activities, ensuring efficient time management, and providing comprehensive administrative support. Fluency in Arabic and English is required, with a preference for candidates who also have proficiency in Chinese.

Responsibilities:

Calendar Management: Efficiently manage the CEO’s personal and professional calendar, including scheduling meetings, appointments, and personal engagements. Ensure optimal time utilization with a proactive approach to avoid conflicts.

Travel Coordination: Plan and organize all aspects of the CEO’s travel, including itineraries, lodging, transportation, and necessary documentation, ensuring a seamless and efficient travel experience.

Communication Handling: Serve as the primary point of contact for internal and external communications, managing emails, calls, and correspondence. Filter and prioritize information to ensure the CEO is informed of critical issues.

Event and Meeting Planning: Organize and coordinate business and personal events, including logistics, guest lists, venue selection, and catering arrangements. Oversee the execution to ensure high standards are met.

Financial Management: Assist with personal and family financial management tasks, including bill payments, budget planning, and financial record-keeping.

Household Management: Oversee the management of the CEO’s household, including supervising domestic staff, coordinating maintenance and repair work, and managing household budgets and expenses.

Personal Errands: Handle personal tasks and errands as required, including shopping, arranging personal appointments, and other duties as needed.

Document Management: Organize and maintain personal and professional documents, ensuring confidentiality and secure handling of sensitive information.

Crisis Management: Provide support in emergency situations, implementing contingency plans and coordinating immediate responses as necessary.

Requirements:

Language Skills: Native fluency in Arabic and fluency in English are required. Proficiency in Chinese is highly desirable.

Experience: Proven experience as an Executive Assistant, Personal Assistant, or similar role, preferably within a fast-paced, high-stakes environment.

Education: Bachelor’s degree or equivalent in Business Administration, Management, or a relevant field.

Skills: Excellent organizational and time management skills, strong communication abilities, and a proactive approach to problem-solving. Ability to handle multiple tasks simultaneously with high precision and confidentiality.

Personal Traits: High level of discretion and professionalism, adaptable, with a positive attitude towards challenges. Willingness to go the extra mile to support the CEO’s needs.
