Job Description:

As people’s lives become increasingly complex and multifaceted, balancing professional careers and personal lives presents significant challenges. Echo Labs recognizes the need for a highly-skilled, tech-savvy Executive/Personal Assistant (EA/PA) to support their Co-Founder/CEO in managing both business and personal affairs. This hybrid role requires meticulous attention to detail, exceptional organizational skills, and the ability to navigate a fast-paced environment seamlessly.

Responsibilities:

– Manage the Founder/CEO’s schedule and communications, including calendar management, inbox prioritization, and email drafting.

– Proactively coordinate both business and personal appointments, handling calendar conflicts and accommodating various time zones and locations.

– Arrange and coordinate in-person meetings, conferences, and events, including greeting guests, setting up boardrooms, organizing catering, and distributing materials.

– Act as a liaison between the Founder/CEO and internal/external stakeholders, communicating on their behalf and ensuring timely responses to inquiries.

– Support the Founder/CEO with external commitments, such as participation in boards, committees, and other groups.

– Exercise judgment in prioritizing time-sensitive matters and managing competing priorities effectively.

– Conduct research and present data in a succinct and well-written manner to support decision-making processes.

– Implement systems and processes to streamline administrative tasks and enhance efficiency.

– Foster camaraderie and teamwork within the EA team, collaborating closely with peers to achieve common goals.

Requirements:

– Minimum 4 years of experience as an Executive Assistant in a high-growth environment, preferably supporting senior leaders.

– On-Site In Office: The candidate must be able to work exclusively in our Sf office location.

– Excellent writing, editing, organizational, and research skills.

– Experience supporting an executive with extensive customer-facing responsibilities.

– Highly organized and resourceful, with the ability to multitask and prioritize with acute attention to detail.

– Proficiency in Google Suite and strong technology skills.

– Demonstrated ability to cultivate productive working relationships across the organization.
