Job Purpose:
Be an extension of the President.
Maintain high level for confidentiality and discretion.
Take over smaller responsibilities and meetings with president to write notes and lead any assigned planning exercises across Integrated Logistics organization.
Manage the President schedule, including scheduling internal and external meetings and travel planning.
Provide high level administrative support and manage day-to-day office secretarial work of the President of Bahri Logistics to ensure smooth coordination.
Executive Assistant role requires a strongly motivated person with good communication and organization skills.
Implement policies and procedures, measure outcomes against standards, and improve operational flow for all admin matters.
Reporting for all President & business unit related projects & initiatives.
Support & President personal matters during working hours.
Maintain various records and documents for company executive(s).
Perform other related duties as required.
Key Accountabilities:
Office Communication:
Respond to telephone requests or in person visitors’ queries.
Control incoming and outgoing mail flow for the office assuring timely responses.
Review outgoing materials and correspondence
Serve as a subject-matter expert, handling inquiries, developing action plans, and assisting with preparation and dissemination of communications.
Prioritize emails and respond when necessary.
Uses business software applications (e.g., word processing, presentation) to prepare correspondence, reports, presentations, agendas, minutes, etc.;.
Calendar Management & Meeting Arrangements:
Efficiently manage the calendar and appointments of the President
Coordinate and set up high-level conference calls, board & executive management meetings and special events with utmost care
Coordinate travel arrangements
Prepare president for all upcoming internal and external meetings
General Tasks:
Manage requisition for supplies, printing, stationary, maintenance and other related services to ensure that the President’s office is appropriately equipped
Improve current admin processes and optimize organizational procedures.
Filing & Reports:
Maintain and ensure custody of important company documents.
Report strategic business initiatives progress, from development through successful execution, under the guidance of senior leadership and department heads
Develop office policies and procedures, and ensure they are implemented appropriately
Qualifications:
Higher Technical Education or equivalent.
Minimum of 8 years of relevant experience.
