The Administrative Assistant for CSI Early College (EC) provides administrative support and assistance to the Dual Credit Program and staff. This role plays a crucial part in ensuring the smooth operation of the dual credit program, which allows high school students to earn college credits while still in high school. The administrative assistant will handle various tasks related to program coordination, student enrollment, record-keeping, and communication.
Key Responsibilities:
Program Coordination
Communicate with dual credit students, parents’ administrators, teachers, and college faculty to assist them with general questions via phone and email.
Order office supplies for the EC team.
Check EC mail daily
Keep conference room orderly and organized
Student Enrollment and Records
Assist students with the dual credit application process.
Process Enrollment applications in Dual Enroll
Maintain accurate and up-to-date student records in Dual Enroll, Anthology Student and Reach.
Communication and Support
Serve as a point of contact for students, parents, and high school personnel regarding dual credit program inquiries and information in the front office.
Respond to emails, phone calls, and other inquiries promptly and professionally.
Provide general administrative support, such as scheduling meetings, preparing agendas, and taking minutes for early college team meetings.
Communicate with high school counselors by sending out the Early College Newsletter
Data Management
Assist Early College Registration Specialist with all Dual Enroll data processing for student admissions and registration.
Assist Early College Coordinators with Student Check-In data entry
Keep accurate and up to date records of contact information for counselors, principals and superintendents for each school/district in partnership with CSI EC.
Program Promotion
Assist with the distribution of Early College Admit Packets for all new dual credit students.
Assist with Reach Journey’s to respond to students that have inquiries
Preferred Qualifications:
Associates’ Degree
Previous experience in an administrative or support role is desirable.
Strong organizational and time management skills.
Excellent communication skills, both written and verbal.
Proficiency in using office software, such as Microsoft Office Suite.
Attention to detail and ability to maintain accurate records.
Ability to work independently and collaboratively in a fast-paced environment.
Knowledge of and/or experience with dual credit programs.
