WHO WE ARE LOOKING FOR
We are in search of a seasoned and dedicated professional to handle important administrative and communication tasks, ensuring efficient operations. The ideal candidate will have:
– Experience: at least 5 years in a Personal Assistant/ Executive Assistant role to a high-level executive.
– Language Proficiency: Fluent in both English and Vietnamese, with excellent oral and written communication skills.
– Multi-tasking Abilities: Demonstrated ability to handle multiple tasks and adapt to shifting priorities in a dynamic environment.
– Time Management: Strong organizational skills with a consistent ability to meet deadlines.
– Professional Communication: Effective communication skills with both internal team members and external stakeholders.
– Technical Skills: Proficient in MS Office (Word, Excel, PowerPoint, Outlook); knowledge of Access is advantageous.
– Preferred Experience: Prior experience in Big 4 firms, education firms, or multinational companies is advantageous.
– Personal Traits: High integrity, energetic, and results-oriented with sound judgment, discretion in confidential matters, and meticulous attention to detail.
KEY RESPONSIBILITIES
I – Administrative Support
– Manage the BOD’s calendar, schedule appointments, and organize meetings.
– Follow and urge all departments to implement business plan as per BODs’ directions;
– Summarize weekly/bi-weekly/monthly/quarterly/yearly reports from heads of department/ managers of departments
-Well prepare all materials prior the meetings of BODs
– Coordinate logistics for meetings, events, and conferences involving the BOD.
– Prepare meeting agendas, reports, presentations, and track follow-up action items.
– Arrange travel, including visa applications, flight bookings, hotel reservations, and itinerary planning.
-Assist BODs in maintaining good relations in internal and external relations, inform the directions/orientations from BODs to heads of departments/managers of department or to business partners:
– Maintain organized and secure filing systems for document retrieval.
– Handle personal errands and miscellaneous tasks as directed by the BOD.
II – Communication & Coordination
– Serve as the main point of contact between the BOD, internal teams, external stakeholders, and company executives.
– Contact business partners as request of BODs;
– Compose documentary, reply on emails/letters from internal/external partners as the request of BODs.
– Ensure effective communication within the company, promote timely information sharing, and monitor action items.
– Keep the BOD informed on ongoing projects, imminent deadlines, and significant updates.
The ideal candidate should have over five years of experience as an executive or personal assistant, be trustworthy, and willing to assist with BOD’s personal errands. They should also be open to traveling for business approximately once a month.
