The Executive Assistant shall provide secretarial and administrative support to the Head and other Executives of the Procurement Department.
Duties and Responsibilities
- Act as the point person between the Procurement Head (and other executives) and its internal and external clients.
- Provide administrative assistance such as taking calls, writing and editing e-mails, drafting memos, preparing communications and routing correspondence.
- Organize meetings and appointments.
- Take minutes of the meeting, capture key discussion points, decisions made and action items assigned to specific individuals.
- Prepare reports and presentation materials as requested by the Procurement Executives.
- Maintain an organized filing system of documents.
- Attend to queries / concerns appropriately for the Procurement Executives.
- Maintain a strict level of confidentiality.
- Provide minor administrative assistance to the Procurement Group as needed.
- Performs other duties that may be assigned from time to time.
Qualifications
- Bachelor’s Degree in any four-year Business-related course
- With 1 to 2 years work experience related to Administrative and Secretarial function.
- Proficient with MS Office
- Strong written and verbal communication skills
- Strong organizational skills and ability to multitask
