As a key member of the Development Services team, you will be managing calendars and meeting dates for public hearings, coordinating with the technical review section of Development Services and working in a team environment with a great team of business service professionals.

How to be Successful in the Role: Your understanding of customer service and modern administrative practices along with outstanding multitasking skills will be relied upon often. You will be communicating in person and through a variety of electronic modes (phone, email, instant messaging, video conferencing) to assist customers and support your team. Your procedure development and improvement skills, along with a high fluency in the Microsoft Office Suite of programs (Word, Excel, PPT, MS Planner, and Outlook), and ability to learn quickly will ensure your success.

Core Daily Responsibilities:

Coordinate related office functions; assist in procedure development; coordinate some personnel functions and perform other duties of a highly confidential nature; may conduct research activities.
Manage and maintain logs, charts, spreadsheets, related data, and files related to the division.
Receive and process forms and applications.
Examine and evaluate data to determine department’s eligibility for, or conformity with, contract agreements or government regulated activities. Perform ongoing monitoring of program compliance. Explain, interpret, and apply complex rules and procedures having division impact.
Prepare and review complex reports, forms, and other records prepared by others for clarity, completeness, accuracy and conformance with standard policies and procedures.
Coordinate purchasing functions, such as preparing purchase orders and managing inventory.
Set priorities; distribute and check work; devise and evaluate office procedures and implement changes subject to approval of supervisor; provide technical assistance as needed.

Qualifications

Minimum Qualifications:

A resume and cover letter are required for this position.
Two or more years of progressively responsible clerical experience or administrative program support work.
Additional education and experience may substitute for the required experience to a maximum of one year.
