Job Summary

The University of Michigan, School of Nursing (UMSN) is seeking an Administrative Assistant Intermediate who will support the Placement Services Team in the Office of Professional Graduate Studies. The Administrative Assistant Intermediate will perform a wide range of administrative and office support activities through conducting and organizing administrative duties and activities including receiving and handling confidential and sensitive information in a timely manner to facilitate the efficient operation of the organization. The individual will report to the Director for Clinical Placement and will work with the Clinical Regulatory Manager and Compliance Administrative Assistant as part of the Placement Services Team.

This is a part-time position that is 30 hours/week

Responsibilities*

Provide administrative/secretarial support for overall general office tasks, to include:

Composing correspondence and preparing documents – reports, drafting memos and emails;
Schedule and coordinate meetings and appointments including preparing meeting schedules and agendas, and taking and disseminating meeting minutes;
Answer, screen and transfer inbound phone calls;
Prepare written responses to routine inquiries;
Coordinating communications, answering questions and email inquiries;
Copying, faxing and mailing materials;
Managing electronic and hard copy filing systems;
Retrieving documents from database filing systems; and collecting/reporting data/information as needed to support the productivity of the office;
Handle information and data requests and resolve administrative problems and inquiries.

Responsibilities specifically related to Placement Services Team:

Maintain and update databases on a daily basis.
Coordinate the flow of information both internally and externally,
Assist in the review process for preceptor and site evaluations to support quality placement practices
Communicate verbally and in writing to answer inquiries and provide information to students, faculty and placement partners as directed.
Liaison with internal and external contacts.
Attend outside meetings as requested.
Coordinate outreach to state boards of nursing offices to confirm requirements and information to support graduate student education in the state including clinical placements.
Manage records and materials required for state and national certification, accreditation requirements including tracking documents for updates.
Coordinate outreach to health systems and health care providers to assess interest in supporting graduate student placements at their sites or health systems.
Coordinate letters of support for clinical preceptors to become adjunct faculty
Guide students and deal with challenging situations as directed.

Required Qualifications*

Education and Experience:

Bachelor’s degree is preferred; or equivalent combination of education and experience is necessary.
A minimum of five (5) or more years of progressively responsible administrative experience in a fast-paced customer service oriented environment.
Candidate must have excellent communication skills, with the ability to receive and convey information clearly and concisely for various mediums. You will be expected to have solid interpersonal and organizational skills, and the ability to work effectively with diverse groups.
Demonstrated experience at the advanced level in the use of Microsoft Office Products (Word, PowerPoint, Excel, and Outlook (with both email and calendaring)).
A high level of computer proficiency, specifically working with database programs.
Proven experience producing correspondence and documents.

Proven experience in information gathering/monitoring and organization.
Demonstrated ability to type accurately and efficiently.
Proficient in spelling, punctuation, grammar and other English language skills.
Excellent independent problem solving skills related to non-compliant students.
Knowledge of operation of standard office equipment; clerical/administrative procedures; principles and practices of basic office management; business principles; and filing/record keeping systems.
A flexible, “can-do” attitude and a willingness to work successfully in a team environment.
Ability to maintain confidentiality.
Ability to multitask and handle high demand situations.

Work Schedule

Due to this being a part time position, work hours will be determined between the hours of 8:00 a.m. – 5:00 p.m., Monday through Friday; may include some occasional weekend and/or evening hours.
