Jaipur Robotics is looking for a highly organized and proactive Executive Assistant to support our leadership team as we scale. In this role, you’ll work closely with the founders to manage scheduling, travel, internal operations, and investor communications. You’ll help drive efficiency across the company by coordinating key projects, streamlining documentation, and ensuring smooth day-to-day operations. Key Responsibilities

Executive & Stakeholder Support: Provide high-level administrative assistance to the executive team, acting as a key liaison with internal and external stakeholders, including investors and partners.

Calendar, Travel & Communication Management: Manage complex calendars, coordinate domestic and international travel, and handle executive communications including emails, reports, and meeting materials.

Meeting & Event Coordination: Organize meetings, prepare agendas, take minutes, and ensure timely follow-ups; support planning and execution of internal and external events.

Operational & Project Support: Assist with cross-functional projects and streamline internal workflows related to HR, legal, and finance; maintain company documentation and assist with research tasks.

Office & Team Operations: Oversee basic office management, procurement, and vendor coordination; support onboarding and integration of new team members.

Requirements

2+ years of experience in a similar Executive Assistant or high-level administrative role, ideally in a startup or tech environment.

Excellent organizational and multitasking abilities, with strong attention to detail.

Strong written and verbal communication skills in English, Italian and German; other languages are a plus.

Proficient in productivity tools (e.g., Google Workspace, Slack, Zoom, Trello/Asana, Notion).

Discretion and ability to handle confidential information with professionalism.

High level of proactiveness, adaptability, and problem-solving skills.

Experience coordinating across international time zones is a plus.

Bachelor’s degree in Business Administration, Communications, or related field preferred.
