The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive’s behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.
Responsibilities
Calendar management for executives
Aid executive in preparing for meetings
Responding to emails and document requests on behalf of executives
Draft slides, meeting notes and documents for executives
Administrative support (expense, travel, emails and mail management), including proactively managing calendar according to the regional leader’s most important priorities and proactively avoiding calendar conflicts.
Organize complex worldwide travel arrangements, with visa letters and sometimes complicated entry requirements for which the incumbent has to interact with embassies and foreign affairs offices. Lead long term travel calendar.
Update and report on travel budget spending.
Prepare presentations and business reporting documents upon guidance from the leaders (as needed).
Organize logistics for recurring business decision meetings owned by the President & Vice President such as Leadership Team meetings
Organize logistics of complex meetings/seminars with participants coming from various regions/various levels and/or with outside speakers/trainers (external trade customers, partner companies, agencies…).
Partner to develop agenda and ensure time management.
Responsible for all aspects of office management, including IT hardware purchases and ensure all Health & Safety obligations are met .
Support HR Manager MEI for any local employee engagement, vendor management and local admin activity support.
Ensure all PO’s are raised for company events or office activities in a timely manner.

Partners with the local leaders’ assistants across the region to support at best the regional and local leaders.

Effective at managing stress and last minute changes
Excellent organizational skills
Excellent written, oral, and interpersonal communication skills
Attention to detail and passion for excellence and enjoys administrative tasks!
Ideally some experience of working for an international and multi-cultural company
Qualifications
Proficient in Microsoft Office suite
Experience in managing multiple priorities, administrative coordination, and logistics
Well-organized, detail-oriented, ability to multi-task with great follow-up skills
Strong written and verbal communication skills
