The Executive Personal Assistant assists the Owner with tasks and activities that take time away from the Owners law firm responsibilities.
Are you an excellent planner and organizer? Were hiring an executive assistant to provide administrative support to the owner and help us achieve our organizational goals. Your role is key to triaging inboxes, ensuring plans are made, schedules are set, meetings happen on time, and files are neatly organized and up-to-date. Ideal candidates are proactive, love diving into projects, working with others, and are interested in playing a big role in the vision of our organization.

Compensation:
$70,000
Responsibilities:
Correspondence & communication
Triage email per SOP/system & file records electronically in email and case management system
Screen calls
Ensure responses to communications are received timely
Schedules & arrangements
Maintain personal calendar and work with the Firms legal assistant to ensure personal calendar and work calendar mesh/do not conflict
Organize office meetings, parties.
Contact professional contacts and referral sources to schedule get to know you and keep in touch meetings
Register for conferences and CLEs
Handle all aspects of travel (business trips, family vacation, air fare, car service, dinner reservations, activities while there)
Office assistance
Project management
Ordering/delivering supplies for the office
Pick up food/snacks/beverages/goodies for the office
Attend C-Suite meetings; take notes, keep me on task, and help me calendar my tasks
Transcribe notes of meetings
Gather reports from the Administrator and the Bookkeeper to review and alert
Deal with simple office IT issues or arrange for an IT vendor
Office marketing assistance
Organize networking contacts and set up the system to monitor contact dates
Send thank you cards, just a note card
Prepare GAS call lists, referral lists for clients
Assist with making GAS calls, referral calls
Household Management
Sort, scan, and get rid of mail
Remind me of all the stuff I say I am going to do that I then forget to do
Fill in the details for my big ideas
Handle tasks that are sketched without a lot of detail
Make calls I dont want to make
Qualifications:
Comfortable meeting deadlines and handling confidential information
Experience using Microsoft Office
2 or more years as an assistant, executive assistant, or in a position performing supportive duties
High school diploma or G.E.D. required
Excellent communication skills, time management skills, interpersonal skills, and organizational skills
