Position: EXECUTIVE ASSISTANT

Provides high-level administrative support to a senior executive or senior management, such as a Senior Vice President, District Vice President, Deputy Command of Military Services, Command Master Chief, or General Manager at a Flagship Store, NEXCOM Headquarters, or District. Responsibilities include conducting research, preparing reports and presentations, managing confidentiality, and keeping the executive informed of urgent issues.

Duties and Responsibilities :

Maintain workflows and communicate status updates effectively through organizational skills and attention to detail.

Manage scheduling and prioritize meetings and appointments, including coordinating domestic and international travel, preparing itineraries, and handling travel claims and petty cash.

Screen and prepare correspondence, ensuring clarity and correctness, and handle visitor requests and meeting arrangements.

Respond to inquiries using knowledge of NEXCOM policies, and follow up on guest relations, complaints, and correspondence.

Research issues, analyze information, and propose solutions, demonstrating math proficiency and analytical skills.

Prepare presentations using PowerPoint and Excel, incorporating graphs, charts, and tables, ensuring accuracy through thorough research.

Potentially act as Office Manager, overseeing equipment and physical environment, managing vendor relations, and maintaining logs.

Lead or assist other administrative staff, ensuring fair distribution of responsibilities and adherence to best practices.

Maintain confidentiality and exercise discretion, making proactive decisions for routine and extraordinary tasks.

Perform ad-hoc duties such as managing purchase requisitions, tracking expenses, training staff, and coordinating projects.

Prepare and manage executive summaries and ensure proper filing and documentation.

Provide limited support to the division as needed and manage fleet vehicles if applicable.

Perform other related duties as assigned.

Education Requirements:

GENERAL EXPERIENCE 3:
At least 3 years of clerical experience, including filing, typing, copying, greeting visitors, answering calls, processing expenses, etc.

OR SUBSTITUTION OF EDUCATION FOR

EXPERIENCE:

1 year of college study above high school level can substitute for 9 months of experience, up to a maximum of a 4-year bachelor’s degree.

AND SPECIALIZED

EXPERIENCE:

1 year of experience supporting management professionals, including preparing reports, managing appointments, coordinating travel, and maintaining filing systems.
