We are seeking a dynamic and highly organized Permanent Executive Assistant to join our fast-paced Sales team. This role is a pivotal position within the organization, providing comprehensive support to our senior executives. The ideal candidate will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail. They will have previous experience working in an office environment, performing administrative duties and providing support to management. Given the changing nature of the executive landscape, we rely on our assistants for flexibility and foresight, while maintaining confidences related to high-level systems and operations.

Responsibilities

Manage and maintain executives’ schedules, appointments and travel arrangements.

Arrange and coordinate meetings and events, including preparation and organization of board meetings.

Monitor, screen, respond to and distribute incoming communications.

Interact with clients professionally, representing the executive suite.

Prepare and edit correspondence, communications, presentations and other documents.

Liaise with internal staff at all levels and manage professional relationships with key stakeholders.

Coordinate project-based work and ensure deadlines are met.

Review operating practices and implement improvements where necessary.

Uphold a strict level of confidentiality and discretion at all times.

Qualifications

Minimum of 2+ years of experience as an Executive Assistant or similar role.

Proficient in Microsoft Office Suite (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.

Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

Expert level written and verbal communication skills.

Demonstrated proactive approaches to problem-solving with strong decision-making capability.

Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.

Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment.
