The Role

We are looking for an exceptionally organized and proactive Executive Assistant to be the right hand to our CEO and the operational backbone of the company.

This is not a general admin or operations role. We are looking for a experienced Executive Assistant: someone who has spent years being the trusted right hand to senior leaders, who knows how to run a principal's world, protect their time, and keep everything and everyone moving. You are warm and great to work with, and also sharp, direct, and able to hold your own when it counts.

Your job is to bring structure to a fast moving company, keep the team’s work organized and on track, and take work off the CEO’s plate so the business runs smoothly and nothing important slips.

You will own the day to day operating rhythm: keeping the team aligned, making sure commitments are tracked and met, and giving the CEO a clear view of what is happening without having to chase for it. It is a high trust, high ownership role for someone who likes to make things run well and is ready to grow with the company.

Responsibilities

  • Be the trusted right hand to the CEO: protect their time, manage priorities, and keep them ahead of what is coming.
  • Run the day to day rhythm: keep work organized and visible, run the short daily team check-ins, and make sure weekly goals and deadlines are clear and visible. follow up with the team for updates and outcomes, and make sure nothing is missed.
  • Act as a gatekeeper and point of contact: manage communication and represent the CEO professionally with the team and outside contacts.
  • Take ownership of tasks, coordination, research, and follow ups from start to finish.
  • Bring structure and calm to a fast moving company, and grow with the role as the company scales.

What we are looking for

  • Minimum 5 years of experience specifically as an Executive Assistant or Personal Assistant to senior leadership, across more than one such role. This is essential. We are looking for a dedicated career assistant, not someone transitioning from a general operations, admin, or support background.
  • A degree from a business or management background.
  • Fluent English, written and spoken, so you can work closely with an international CEO and represent the company professionally. Fluent Bahasa Indonesia as well.
  • Polished and representable, comfortable interacting with senior people and external stakeholders.
  • Warm and personable, and also confident, direct, and able to push back and hold the line when needed.
  • Highly organized and structured. You bring order to a busy environment, keep track of many moving parts, and never let the details drop.
  • Proactive and full of ownership. You do not wait to be told. You see what needs doing, you take it on, and you follow it through to the end.
  • Reliable and always prepared. You are on time, you come ready, and people can count on what you say you will do.
  • Calm, professional, and discreet, able to handle sensitive information and represent the CEO with good judgment and integrity.
  • A strong communicator and coordinator who keeps people aligned and follows up without friction.
  • Comfortable with tools, able to pick up and run tools such as Trello quickly, and happy to use AI tools to work faster.

Nice to have
