Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will play a crucial role in supporting our daily operations and ensuring smooth administrative processes. This is a dynamic position that requires excellent organizational skills, strong attention to detail, and the ability to multitask effectively.

Key Responsibilities

Audit Timeclock Punches: Review and verify employee time entries.
Record Attendance: Maintain accurate attendance records.
Assist with Employee Onboarding: Help new hires navigate the onboarding process.
Reconcile Credit Card Receipts: Ensure proper documentation and accuracy.
Answer Phone Calls: Provide excellent customer service over the phone.
Schedule Leads for Sales Team: Coordinate appointments and meetings.
Order and Restock Office Supplies: Keep our workspace well-equipped.
Assist with Project and Accounting Paperwork and Reporting: Collaborate with other teams.
Check Mail and Handle Bank Deposits: Manage incoming and outgoing correspondence.
Janitorial Duties: Maintain a clean and organized office environment.
Other Administrative Duties as Needed: Supporting administrative department and project work.

Qualifications/Requirements

High School Diploma or equivalent
2 Years of Customer Service Experience
Proven experience as an Administrative Assistant or in a similar role
Excellent organizational skills with the ability to prioritize tasks effectively
Strong attention to detail and accuracy in work
Proficient in using computer systems and software, including Microsoft Office Suite (Word, Excel, PowerPoint) and QuickBooks
Familiarity with phone systems and office equipment
Strong written and verbal communication skills
Ability to work independently and collaboratively in a team environment

Preferred Qualifications

Previous Administrative, HR, or Accounting Experience

Work Environment

This is a full-time hourly position based at our office, with working hours from 8:00 AM to 4:30 PM.

Reporting Structure

The Administrative Assistant will report directly to our Administration Manager.
