Executive Administrative Assistant

POSITION SUMMARY: The Executive Assistant provides varied and complex administrative support services for the Chief Officer and HR Director, organizes office activities and coordinates the flow of communications for the Chief Officer, HR Director, and assigned departments, relieves the Chief Officer and HR Director of administrative detail and performs a variety of tasks relative to assigned areas of responsibility.

ESSENTIAL DUTIES AND RESPONSIBILITIES: The following statements of essential functions and responsibilities are intended to describe the general nature and level of work being performed by individuals assigned to this position. These statements are not intended to be an exhaustive list of all duties and responsibilities required of all personnel within this position. Actual duties and responsibilities may vary depending on building assignment and other factors.

In fulfillment of these duties and responsibilities the Assistant shall:
Provide support by maintaining his/her calendar and schedule appointments, meetings and deadlines.
Process and prioritize incoming and outgoing mail including electronic mail. Type and maintain filesfor correspondence, memoranda, reports and other necessary records.
Handle routine telephone calls and inquiries. Receive and return phone calls and communication from parents, principals, staff, and community as directed. Serve as a receptionist.
Work independently to coordinate meetings and workshops. Reserve rooms, prepare and circulate agendas and prepare for regular meetings. Coordinate refreshments as needed.
Provide busy-season and periodic supporttions to include Accounts Payable, Purchasing, Payroll, Staff onboarding, and CDE reporting as needed.
Serve as liaison by providing information and forms to school personnel.
Work cooperatively with the team as well as members of other teams to ensure smooth flow of work.
Arrange conference, travel, hotel accommodations as needed.
Assist with the organization and management of department-related Board of Education policies.
Reconcile time clocks and employee absences for the Technology and Human Resources departments.
Provide backup to other secretaries when on vacations or other absences.
Keep privileged and sensitive information in strict confidence.
Perform other duties as assigned or required.

EDUCATION AND TRAINING: High school diploma or equivalent supplemented by additional training in office organization and secretarial skills.

EXPERIENCE: Previous experience in a secretarial position with increased responsibility. Previous experience in an educational environment is desirable. Previous executive level secretarial experience is preferred. Above average computer skills with database management, word-processing, presentation software, spreadsheets and e-mail. Previous use of Microsoft software preferred. Must have experience with Google applications, such as Drive, Calendar, and Meet.

SKILLS, KNOWLEDGE, EQUIPMENT & OTHER: Must have correct English language usage, spelling, grammar, and punctuation to communicate effectively with students, parents, and district personnel. Must maintain a professional demeanor at all times and relate well to a variety of individuals. Must be capable of basic mathematical calculation. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form. Must be able to perform a variety of secretarial work with the use of prioritizing, independent judgment, accuracy, speed and confidentiality without continuous supervision and coordination

Current office methods, procedures, and equipment including computer, reception and telephone techniques. Must be able to file alphabetically, numerically and chronologically. Must be able to read, interpret and support District policies, rules and regulations applicable to the school site. Must be able to proficiently operate and maintain office equipment. Must also have the ability to set up and maintain a filing system.

PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

While performing the duties of this job, the employee may sit for long periods of time. Some standing, stooping, bending or reaching may also be required. Requires manual dexterity sufficient to operate a keyboard, operate a telephone, copier and other office equipment as necessary. Vision must be correctable to 20/20 and hearing must be in the normal range for telephone contact. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. It is necessary to view and type on a computer screen for a long period and to work in an environment which can generate high work volume and high stress.

The employee must occasionally lift and/or move up to 10 pounds.

can be stressful. The noise level in the work environment is usually low to moderate. There is not an elevator

Pay range for this position is $23.10- $26.33 per hour depending on previous experience. This is a non-exempt position on a year round calendar.
