PE Global is currently recruiting for an Executive Assistant for an initial 23 month contract role with a leading multinational Biotech client based in London – Fully remote within the UK.

To provide administrative support to members of the GMAF team which is dispersed across the globe with team members located in the US, Europe and Asia Pacific regions and working mostly in a virtual operational model.

Job Responsibilities

General administrative support

Processing of expenses

Travel bookings

Virtual and physical team meeting coordination

Outlook calendar coordination support – working closely with other Senior Coordinators – Scheduling high priority meetings with multiple stakeholders across functions. Resolving multiple calendar conflicts

Virtual and physical event coordination (e.g. Advisory Board, Expert Panel Roundtables)

Liaison with project and program managers assigned to the programs

Liaison with external vendors and collaborators

Support for the preparation of presentations and materials based on content provided by the team members

Drafting and distributing minutes

Onboarding help with new hires; off-boarding.

Coordinating, compiling, and editing various material upon request.

Onboarding help with new hires; off-boarding.

Resolving IT issues and ordering equipment upon request

Requirements

Fluency in English language

A minimum of 5 – 10 years of executive level support VP, S/EVP, or C-level and office administration.

Strong PC computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams, SharePoint, Forms), SAP Concur Travel & Expense, DocuSign CLM, Coupa.

Relevant experience in similar roles at the senior level in corporate pharmaceutical organizations – a minimum of 5 – 10 years of executive level support VP, S/EVP, or C-level and office administration

Experience working in medical affairs organizations (preferred)

Experience working in cross-functional matrix organizations

Experience working remotely and virtually

Ability to coordinate across multiple time zones

Time management and prioritization

Quick learner and self-starter capabilities — able to work proactively and independently on tasks

Strong communication skills on all levels with internal leaders, employees, and outside vendors

Responsiveness to deadlines, strong attention to detail, and able to prioritise multiple tasks

A high level of professionalism with strong influencing skills and ability to anticipate situations or issues that may arise in the near future

Independent judgment and discretion with sensitive/confidential and proprietary information

A can-do attitude, ability to be flexible and adaptable

Ability to receive and act on “ad-hoc” requests

Ability to think creatively and strategically
